As an Operations Coordinator, you'll play a central role in supporting the day-to-day operations of a dynamic Miami office. Working closely with the Senior Operations Manager, you'll collaborate across multiple service areas-including Facilities Services, Digital & Delivery Services, Food Services, Safety & Security, and Space Planning-to ensure seamless execution and a top-tier workplace experience. This is a highly visible role offering broad exposure to law firm operations, where your organization, professionalism, and problem-solving skills will make a measurable impact.
  • Operational Coordination & Process Improvement: Support cross-functional operations initiatives, track projects, and drive process improvements through collaboration, benchmarking, and best practices.
  • Project & Event Support: Coordinate planning meetings, assist with execution of operational projects and events, and maintain accurate documentation and reporting.
  • Digital & Mailroom Services: Serve as a subject matter expert in digital document processing, printing, and mailroom operations, ensuring timely and accurate delivery of services.
  • Facilities & Property Liaison: Partner with internal teams and property management to manage building-related requests and resolve facility issues efficiently.
  • Safety & Emergency Programs: Assist with coordination of campus safety initiatives, including Emergency Response (MIR3), CPR AED trainings, and building safety drills.
  • Customer Service Excellence: Provide a high-touch service experience by supporting employees, clients, and visitors; manage inquiries via phone, email, and in-person interactions.
  • Vendor & Resource Coordination: Arrange services such as catering and external vendor support to meet operational and event needs.
  • Reporting & Continuous Learning: Deliver operational reports and stay current on industry trends in facilities, services, and workplace operations.

What You'll Bring
  • Education: Bachelor's degree preferred or equivalent hands-on experience in operations or facilities management.
  • Experience: 5+ years of experience in operations, facilities, or workplace services, ideally within a fast-paced or professional services environment.
  • Technical Proficiency: Strong working knowledge of Microsoft Office Suite (PowerPoint, Excel, Word, OneNote, SharePoint), Microsoft Windows, and web-based applications.
  • Operational Expertise: Experience with mailroom, print/digital production, and general office services, with the ability to troubleshoot and manage complex workflows.
  • Communication & Relationship Building: Excellent written and verbal communication skills with the ability to collaborate effectively across teams and levels.
  • Organization & Multitasking: Proven ability to manage multiple priorities, meet tight deadlines, and maintain attention to detail in a fast-paced environment.
  • Customer Focus: Strong service mindset with a commitment to delivering high-quality support and solutions.
