Job description

Temporary Administrative Assistant / Receptionist (Approximately 3-Month Assignment)
If you have strong administrative skills, enjoy a fast-paced environment, and thrive on variety, we encourage you to apply for our Temporary Administrative Assistant / Receptionist opportunity. This is a full-time temporary position expected to last approximately three months, beginning in September. In this role, you will manage the Chicago Corporate Office front desk and reception functions, help maintain office operations, and provide administrative support to company leaders and team members.
Compensation: $20-$25 per hour (based on experience)
Schedule: 40 hours per week, Monday-Friday, 8:00 a.m. - 5:00 p.m.
Assignment Length: Approximately 3 months, beginning September 2026
Location: Downtown Chicago Corporate Office
Reception Coverage
  • Answer, screen, and direct incoming calls to the appropriate departments and team members.
  • Greet and assist visitors, vendors, and guests in a professional and welcoming manner.
  • Support new employee onboarding and office setup as needed.

Administrative Support
  • Assist with travel arrangements, including airfare, hotel accommodations, car rentals, and travel research.
  • Prepare and process accurate executive expense reports using Workday Expense.
  • Coordinate incoming and outgoing mail, including express shipments, certified mail, and courier requests.
  • Assist with UPS account administration and user setup.
  • Coordinate catering requests for meetings and special events.
  • Support employee recognition programs, volunteer activities, and other corporate events.
Facility Assistance
  • Monitor, order, and restock office and kitchen supplies; conduct pricing and vendor research as needed.
  • Submit and track building maintenance requests.
  • Coordinate visitor access requests.
  • Maintain printer cartridge inventory and reorder supplies as needed.
  • Schedule service calls for printers, copiers, and postage equipment.
  • Help maintain common areas, including loading and unloading the dishwasher and putting away clean dishes when needed.

Qualifications
  • High school diploma or GED required; associate degree or bachelor's degree preferred.
  • 2-3 years of administrative support, office coordination, or receptionist experience.
  • Strong proficiency with Microsoft Office Suite.
  • Experience managing a multi-line phone system.
  • Experience preparing expense reports required.
  • Experience with Workday is a plus.
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities.

Physical Requirements
Employees are regularly required to use their hands for keyboard and telephone work and must be able to hear and communicate effectively. Specific vision abilities include close vision, distance vision, peripheral vision, color vision, depth perception, and the ability to adjust focus.
