Senior Executive Administrative Assistant

This Senior Executive Administrative Assistant role provides dedicated support to the CFO and finance leadership team, managing complex calendars, travel, expenses, approvals, and executive coordination. The ideal candidate is a highly organized, proactive professional who can build strong relationships, collaborate across teams, and help keep finance operations running smoothly during a period of significant organizational change.

Responsibilities
  • Prepares confidential correspondence, periodical reports, meeting notices, presentation materials and other documents in appropriate formats using word processing, spreadsheets, graphics, and/or desktop publishing software.
  • Compiles information and prepares special and complex one-time reports, summaries, or replies to inquiries for variety of audiences and levels.
  • Acts as liaison between the Officer of the Company and various executives with employees of the Company, clients, and all interested outside parties.
  • Screens telephone calls, providing assistance and accurate information for routing non-routine calls.
  • Maintains calendars, schedule meetings and makes travel arrangements for top senior level executives.
  • Applies in-depth divisional knowledge to projects of small to medium scope.
  • Determines methods and procedures to be used in resolving the most complex inquiries and will make on-the-spot priority decisions.
  • Maintains confidential files of information of the most highly confidential nature.
  • Operates with substantial latitude for independent judgment and discretion.
  • Manage data privacy risks and ensure compliance with company policy regarding the processing of personal and/or other sensitive data.
Qualifications
  • High school education or equivalent.
  • Minimum of 5 years of experience with a high level of administrative experience, discretion and technical skills.
Preferred Qualifications
  • Associate's degree preferred. Excellent time management skills.
  • Frequent demand to establish priorities and meet tight deadlines.
  • Advanced knowledge of company and organizational structure with respect to the division and departments.
  • Excellent verbal and written communication skills.
  • Must possess a high level of analytical skills.

Compensation
  • The Salary for this position generally ranges between $65,000 - $85,000 annually. Please note that the salary range is a good faith estimate for this position and actual starting pay is determined by several factors including qualifications, experience, geography, work location designation (in-office, hybrid, remote) and operational needs. Salary may vary above and below the stated amounts, as permitted by applicable law.
  • Additionally, this position is typically eligible for an Annual Bonus based on the Company Bonus Plan/Individual Performance and is at the Company's discretion.

This is a hybrid position requiring three days in office per week in one of our hub locations (Philadelphia, Cedar Rapids). Relocation assistance will not be provided for this position.
