THE OPPORTUNITY

The Ministry Administrator provides support to approved strategic and operational plans and activities for the areas of Gospel Outreach (GO) Trips and our Global Church Program (GCP). With your support, well see the ministry of ShareWord Global grow and strengthen. Ultimately accountable for the successful completion of GO Trips and smooth administrative processes of our Church Partnership program, the Ministry Administrator is to accomplish their goals by working collaboratively will the ministry division, in addition to the greater staff and volunteer teams.

KEY RESPONSIBILITIES

    GO Trips (45%)

    • Coordinate the Application and Selection processes
    • Monitor and update Forms, Waivers and any selection and processes as regulations and legislation changes (i.e., Police Record Checks, travel advisories, Visas and immunizations, etc.)
    • Manage flight, insurance and travel accommodations in collaboration with designated travel agency and SWGs leadership
    • Liaise with the in-country host or SWGs Regional Manager to arrange hotel accommodations for all GO Trip team participants
    • Ongoing communication and coordination with in-country Regional Manager, volunteer GO trip leaders, and relevant Canada-based staff and GO Trip Participants to trouble shoot any challenges or problems that arise in the preparation and planning of the trips. Also act as SWGs ambassador and answer questions about the GO Trips
    • Reconciling donations per Participant and GO Trip, including preparing invoices as needed and maintaining accurate Raisers Edge (Blackbaud) donations and GO Trip Event Records
    • Work with appropriate Head Office and field staff in MarCom, field staff, finance teams, and gift processing to ensure all GO trip participants (or potential participants) are brought along with all GO trips plans and promotions including recruitment, marketing and finance
    • Support the collating of trip stories alongside the team based on the needs of the communication department
    • Assist in any other tasks regarding administration of GO trips and other ministry special trips (i.e., Major Donors, Set-up)
    • Create, review, and/or rewrite of training materials and/or policies and procedures related to GO Trips as needed
    • Support in the development and execution of the strategy for the recruitment of GO Team participants.
    • Develop strategy and processes to identify GO Team Trip Leaders and build a database of trained and qualified Trip Leaders.
    • Support the implementation of a training program for GO Team Trip Leaders and oversee ongoing Trip Leader training.
    • Liaise with partner organizations in the execution of collaborative GO Team trip initiatives, including the arrangement of travel and execution of trip logistics.
    • Develop and implement a GO Teams trip report that captures all the information required for the Global Church Database
    • Manage and monitor International Trip Schedule on all platforms.
    • Research the EAN region and countries within that region that have been assigned to you, to support strategic decision-making
    • Other related duties as assigned


    GCP Administration (45%)

    • Data Entry
      • Manage the church database, ensuring Church Partners' data is kept current.
      • Add new churches to the database
      • Processing donations from churches
      • Inputting attendance for all Discovery and Ignite events.
      • Creating new constituents in the database.
      • Cost tracking all event materials that are being sent out to each event.
    • Event Coordinator
      • Coordinating all events happening in Both Canada and USA
      • Managing the Ignite trainer's calendar.
      • Coordinating with key stakeholders to ensure all the event needs are met in preparation, during and after events.
      • Manage the backend process for Discovery Events and Ignite events, including:
        • Creating Events in the Database
        • You are the go-between for churches signing up for Discovery and Ignite events.
        • Verifying churches credentials
        • Adding Attendance
    • Customer Service
      • Communicating with Church partners
      • Communicating regularly with key staff to ensure events are on track.
      • Communicating with trainers about upcoming events.
    • Other
      • Create event packages and ensure all pieces are together to be shipped to churches


    General Ministry Support (10%)

    • Assist the ministry director as needed with anything related to the ministry
    • All other duties as assigned


    QUALIFICATIONS & SKILLS

    • A vibrant faith, evident to all through a character which reflects Christ.
    • Possesses a deep appreciation for Gods Word and a passion to see the gospel be shared with the world
    • Able to multi-task and work in fast paced environment
    • Exceptional command of English, including grammar, punctuation, and spelling
    • Ability to work well independently as well as part of a collaborative, cross-departmental team
    • Thrive in supporting many projects at once, while ensuring excellence in all
    • 1-4 years experience or greater in administration and/or project management


    ASSETS

    • A working knowledge of all Microsoft Office and Apple products (Google Drive,MS Word and Excel)
    • Strong organizational and coordination skills with experience in managing and coordinating detail
    • Experience working a non-for-profit, charitable organization, or church
    • Experience with Blackbaud and Raisers Edge products
    • Completedpost-secondary education in a relevant field
    • Knowledge of project and event coordination and administration
    • Experience working with/in churches and denominations
    • 2nd language preferable
