Job description

The Salvation Army corps located in Jefferson City, Missouri, is looking for an organized and structured person to fill the role of their Administrative Assistant. The primary function of the Administrative Assistant is to provide day to day administrative and clerical support to the corps officers, employees, visitors, and vendors.

This is a full-time, 40 hour per week, position with a starting pay of $24.50 an hour.

Essential Functions

  1. Provide Administrative support to the Officers.
  2. Handle routine calls/inquires regarding corps services and programs in a professional manner.
  3. Maintain daily routine of the office and prioritize tasks, e.g., compose routine letters, forms, taking messages, and prompt communication of items needed by telephone.
  4. Receive and distribute incoming mail in accordance with organizational policies and procedures.
  5. Record income and deposits funds; forward appropriate paperwork to Divisional Headquarters.
  6. Assist with sending invoices to Divisional Headquarters
  7. Record, type, and email Advisory Board minutes
  8. Coordinate necessary office supplies, prepare and order supplies as needed.
  9. Manage Volunteer Database, assist volunteers with needed paperwork, assign volunteers to appropriate department
  10. Monitor front desk and cameras system
  11. Assist with Christmas
    1. Scheduling kettle locations
    2. Scheduling angel tree locations
    3. Managing a schedule for the Christmas driver to pick up donations
    4. Assist with Register to Ring scheduling and income reporting
