Job description


Position Overview:

The Office Administrator/ Customer Excellence Support- provides administrative support and customer service to both internal and external customers. The Customer Excellence Support; supports executing timely customer related requests and a continuous support of the Sales and Operations Team goals.

Summary of Responsibilities:

  • Required to be in the office five days a week 8am to 5pm

Is punctual and arrives at work on time (8am)

Answers and transfer calls on a multi-line phone system

  • Accepts deliveries, sorts mail, and maintains phone lists
  • Handles sensitive and/or confidential documents and information
  • Communicates with the manager and customers on job or deadline issues
  • Establishes a positive image to both internal and external customers while delivering superior customer service
  • Provides administrative support to the Sales Team and Operations Department
  • Supports ongoing continuous improvement while developing knowledge of our customer and supplier base
  • Professionally handles and efficiently routes incoming calls and walk in customers
  • Assists with customer requests and serves as a resource
  • Provides internal support to sales team and operations teams
  • Facilitates the execution of timely customer payables and monthly closes
  • Prints other USM location breakdowns
  • Demonstrates timely execution of accurate customer data input and reports
  • Operates with integrity and confidentiality while upholding ethical standards of the organization
  • Develops accounting-based solutions while implementing new systems, procedures, and internal programs
  • Sends requested information to customers using established templates
  • Organizes/Files monthly customer breakdowns and forwards them to the Recycling Consultant
  • Organizes monthly payables and forwards them to the Accounting Department
  • Handles customer inquiries
  • Performs customer account setup / database maintenance
  • Executes purchase contract creation / maintenance
  • Expedites customer load breakdown to provide timely information or payment
  • Executes material breakdown & customer pricing input
  • Must demonstrate competency in all aspects of the job and company objectives
  • Demonstrate understanding of company policies, rules and training
  • Other duties as assigned

Desired Characteristics:

  • Bilingual (English and Spanish)
  • High School Diploma and previous similar position and/or industry experience
  • Standard MS Office software usage (Outlook, Excel, Word)
  • Ability to work in a fast-paced environment, managing multiple priorities
  • Ability to perform accurate data entry
  • Excellent written and verbal communication skills
  • Highly organized
  • Experience with industry software preferred, especially knowledge of Shared Logic
  • Candidate must pass a pre-employment physical, background and credit check.
  • Able to fulfill flexible scheduling requirements as determined by the manager and / or business needs of the operation
