Eisan is looking for a Medical Office Assistant to join our team onsite!

The Medical Office Assistant (MOA) / Clinic Coordinator plays a vital role in managing information flow within our occupational health clinic. As a key member of the care team, this role combines front-line administrative excellence with hands-on clinical coordination to support efficient and seamless patient care delivery.

This position requires a highly organized and detail-oriented professional who can manage clinic operations, coordinate patient services, and support Occupational Health Nurses and Physicians in a fast-paced environment. The MOA serves as a central liaison between patients, healthcare providers, and employer clients, ensuring high-quality service and continuity of care.

The schedule is Monday to Friday, 8:00am-4:00pm. This is an onsite role.

General Administrative Duties

  • Serve as the first point of contact for patients, employees, and clinic visitors, providing professional and courteous service.
  • Manage incoming communications including phone, email, and fax; triage inquiries and prioritize urgent matters appropriately.
  • Schedule patient appointments for assessments, tests, and treatments while maintaining accurate and confidential medical records.
  • Provide clinical and administrative support to Occupational Health Nurses and Physicians.
  • Maintain records management systems, including EMR documentation and chart preparation.
  • Oversee supply ordering for clinic and office operations.

Program Administration

  • Perform accurate project and clinic data entry with strong attention to detail.
  • Coordinate on-site clinic logistics including vendor management and staffing support.
  • Support invoicing processes and program administration from initiation to completion.
  • Manage front-end vendor interactions (e.g., workersโ€™ compensation documentation, certificates, correspondence).
  • Assist with back-end audit verification and supporting documentation for invoicing.

Specialized Client Services

  • Provide tailored coordination for client programs, ensuring timely routing of medical information.
  • Support drug and alcohol (D&A) testing coordination, tracking, and reporting.
  • Maintain immunization records and related data entry platforms.
  • Manage project-specific documentation and results handling

Communication & Coordination

  • Act as liaison between patients, employers, and multidisciplinary healthcare teams.
  • Facilitate communication with Occupational Health Nurses and Physicians to ensure continuity of care.
  • Collaborate with clinic leadership on service coordination and operational improvements.
  • Ensure timely and professional responses to all inquiries.

Clinic Operations

  • Utilize Netcare and EMR systems (Med Access) for patient management and documentation.
  • Coordinate family practice activities including booking, referrals, and follow-ups.
  • Support aviation medical services coordination, including scheduling and documentation.
  • Prepare clinic documentation and coordinate in-clinic appointments
  • Route clinical results to appropriate physicians and healthcare providers.
  • Arrange specimen pickup with laboratory partners as required.

Education & Experience

  • Medical Office Assistant diploma or equivalent experience in a healthcare setting.
  • Previous experience in an occupational health clinic or physician practice is an asset.
  • Strong knowledge of medical terminology and clinical documentation standards.
  • Proficiency with Netcare, EMR systems (e.g., Med Access), Microsoft Office, and Adobe.
  • Experience with data management systems or occupational health platforms considered an asset.
