Job description

We are looking for a Customer Service Representative for a Contract position based in Calistoga, California. This role supports customers, consumers, and internal teams by handling service inquiries, coordinating order-related activities, and keeping account information accurate and up to date. The ideal candidate brings strong communication skills, solid administrative ability, and a consistent focus on accuracy, responsiveness, and follow-through.
Responsibilities:
• Support the sales team with administrative tasks by updating customer records, maintaining account details, and organizing sales-related documentation.
• Compile routine reporting, collect invoice backup, and assist with reconciliation activities to help ensure timely submission to finance partners.
• Investigate account, order, and billing discrepancies and work across departments to resolve issues and maintain accurate information.
• Respond to consumer questions and concerns, coordinate follow-up actions, and arrange related correspondence, product shipments, or package distribution as needed.
• Partner with e-commerce and internal teams to address consumer order matters, product availability questions, and service-related issues.
• Provide backup assistance for order entry, order processing, shipment coordination, and daily invoicing during peak periods or team absences.
• Review incoming orders and supporting documents for completeness and accuracy, helping to resolve shipment, invoice, and account issues promptly.
• Communicate clearly with customers and internal stakeholders regarding order updates, shipment status, and routine service needs.
• Protect confidential company, customer, financial, and employee information by following privacy, security, and record-handling standards and escalating concerns when appropriate.• At least 2 years of experience in customer service, call center support, or a similar client-facing administrative role.
• Hands-on experience with order entry, inbound call handling, and general customer service support.
• Ability to manage both inbound and outbound communication professionally and efficiently.
• Strong attention to detail with the ability to maintain accurate records, invoices, orders, and account information.
• Effective communication skills and the ability to collaborate with cross-functional teams such as Sales, Finance, Customer Service, and E-Commerce.
• Strong organizational skills with the ability to balance multiple priorities and meet deadlines in a fast-paced environment.
• Ability to handle sensitive information responsibly and follow confidentiality and information security expectations.
