We source electronic components, electromechanical products, and other critical materials for customers with demanding quality, documentation, and delivery requirements. Our success depends on accuracy, responsive communication, careful follow-through, and keeping complex orders moving through final delivery.

Position Summary

We are seeking a highly organized, proactive Customer Order & Expedite Management Specialist to manage customer orders and related supplier purchases from placement through delivery. This person will be a key link among customers, sales, purchasing, suppliers, quality, shipping and receiving, and management.

This is not a passive data-entry role. The Specialist must take ownership of open orders by obtaining and reviewing confirmations, verifying supplier commitments, maintaining accurate records, following up until answers are received, identifying and escalating problems early, and updating customers before they need to ask. On-time delivery depends on these actions long before an item reaches shipping.

Primary Responsibilities

  • Review new customer orders for accuracy. Confirm supplier purchase orders and acknowledgments.
  • Track orders through supplier confirmation and keep expected shipment and delivery dates current in company systems, reports, and customer records.
  • Follow up regularly and persistently with suppliers regarding acceptance, availability, lead times, expected ship dates, releases, tracking, backorders, partial shipments, and possible delays.
  • Proactively provide customers with timely, professional updates affecting delivery.
  • Identify orders nearing required delivery dates without adequate confirmation or activity. Escalate late, incomplete, inconsistent, or at-risk orders to sales, purchasing, quality, or management, and coordinate expedited processing or shipping when needed.
  • Coordinate with shipping and receiving so incoming and outgoing shipments are properly identified and prioritized. For drop shipments, confirm ship-to details, documentation instructions, account information, and customer-specific requirements.
  • Document supplier commitments, customer communications, schedule changes, and follow-up activity; maintain open-order, past-due, and at-risk reports so no order is overlooked because of missing follow-up, incomplete information, or unclear responsibility.
  • Help improve order-management procedures, customer-update practices, tracking tools, and internal communication, and perform related administrative, customer-support, and operational duties as assigned.

Required Qualifications

  • Experience in order management, sales or purchasing support, customer service, logistics, distribution, supply-chain coordination, or a related role.
  • Strong organization, attention to detail, and time management, with the ability to manage numerous orders, line items, dates, and priorities while recognizing discrepancies before they become larger problems.
  • Excellent follow-through and professional persistence with suppliers until an answer or resolution is obtained.
  • Clear written and verbal communication, including accurate customer emails and the ability to provide reliable information without unsupported promises or assumptions.
  • Working knowledge of customer purchase orders, sales orders, supplier purchase orders, acknowledgments, quotes, invoices, packing slips, tracking information, ship and delivery dates, lead times, backorders, partial shipments, and customer versus manufacturer part numbers.
  • Sound judgment to ask questions when information is unclear, recognize when help is needed, and escalate concerns promptly.
  • Proficiency with QuickBooks, Microsoft Outlook, Word, and Excel and comfort using order-management, ERP, CRM, or similar software.
  • Ability to learn, retain, and consistently follow documented procedures, with dependable attendance and punctuality.

Preferred Qualifications

  • Experience with electronic components, electromechanical or industrial products, technical distribution, or quality-sensitive aerospace, defense, government, or medical customers.
  • Experience in an ISO 9001, AS9120, or similarly controlled quality environment.
  • Experience with expediting, supplier follow-up, backorder management, delivery recovery, drop shipments, and domestic or international suppliers.
  • Experience reviewing part numbers, manufacturers, date codes, lot information, traceability documents, or certificates of conformance.

Orders are acknowledged promptly; supplier confirmations are obtained and reviewed; shipment and delivery dates, records, and communication notes remain accurate; and customers receive useful updates before asking. At-risk and past-due orders are identified and escalated promptly. Sales and management have a clear view of open-order status, and customers feel their orders are actively managed rather than simply awaiting supplier responses.
