POSITION: Creative Project Manager
Location: Fort Lauderdale - HQ
Schedule: M-F from 8:30am - 5pm (onsite)

Position Summary
The Creative Project Manager serves as the operational arm of the marketing department, overseeing project execution, resource planning, workflow strategy, and operational efficiency across an 18-person cross-functional team. This position exercises independent judgment in establishing priorities, allocating resources, developing scalable processes, and ensuring the successful delivery of marketing initiatives that support organizational objectives.
Key Responsibilities
Traffic Management & Workflow Ownership
  • Own the daily trafficking of work across the in-house creative and marketing team, including graphic design, copywriting, video production, digital, web, and content.
  • Review incoming project requests, clarify scope, gather requirements, and ensure projects are properly briefed prior to execution.
  • Evaluate competing business priorities, resource availability, and project complexity to establish workflow priorities, allocate resources, and determine execution strategies across concurrent initiatives.
  • Lead traffic meetings, monitor project progress, identify risks, and adjust timelines, assignments, and priorities as business needs evolve.
  • Identify and manage compliance routing requirements, ensuring regulated materials follow the correct review process.

Project Management
  • Develop and manage end-to-end project plans within ClickUp, defining scope, milestones, deliverables, owners, dependencies, timelines, and success criteria.
  • Align cross-functional teams by facilitating project kickoffs, status meetings, reviews, and follow-up communications that drive accountability and project momentum.
  • Evaluate project performance, identify operational risks, and implement mitigation strategies to ensure successful delivery and alignment with business priorities.

Process Creation & Continuous Improvement
  • Own and continuously improve the department's project management infrastructure, including workflow architecture, intake processes, prioritization frameworks, automation, reporting, and resource planning.
  • Develop standardized templates for recurring project types such as campaigns, events, video production, and advisor marketing collateral.
  • Maintain and enhance dashboards, trackers, and reporting tools that provide visibility into project performance and team capacity.
  • Identify workflow gaps and implement process improvements that enhance speed, clarity, consistency, and operational efficiency.

Stakeholder Communication & Relationship Management
  • Work alongside the Client Success Liaison and Executive Assistant for project communication and delivery to internal departments, vendors, and advisor partners.
  • Set clear expectations regarding timelines, scope, dependencies, revisions, and delivery schedules and translate incomplete or ambiguous requests into actionable project plans.
  • Communicate with team members in-person and digitally (ClickUp, Teams) to flag and/or remove project roadblocks.

Quality Assurance & Delivery
  • Ensure all deliverables complete required quality assurance, compliance, and approval workflows before release.
  • Oversee coordination with internal teams and vendors to verify deliverables are accurate, on-brand, and production-ready.
  • Manage final approvals and confirm delivery of completed marketing assets.

Requirements
Must-Have Qualifications
Background and Education:
  • Bachelor's degree in Marketing, Communications, Project Management, or a related field preferred.
  • Minimum 3 years' experience in marketing coordination, project management, or a marketing operations role within a creative agency or in-house marketing department.
  • Demonstrated experience managing multiple concurrent projects across creative disciplines, including design, copy, video, digital, print, and web.
  • Hands-on experience with project management platforms (ClickUp, Asana, Monday.com).
  • Working knowledge of digital and print production workflows and asset handoff requirements.
  • Experience routing marketing materials through compliance or legal review processes preferred.
  • Project management certification is a plus.
