Summary
Bush Realty Group is seeking a highly motivated, tech-savvy Operations & AI Manager to help drive the organization, innovation, and growth of our real estate team.
This is not a traditional administrative role. We are looking for a builder and problem solver who takes ownership, sees opportunities for improvement, and turns ideas into action.
This person will oversee key operational systems, manage team and client events, support agent recruiting and onboarding, track team goals and accountability, and help implement new technology throughout the organization.
A major focus of this role will be AI, automation, and innovation. The ideal candidate is naturally curious about emerging technology and enjoys researching, testing, and implementing new tools that can improve productivity, lead generation, recruiting, marketing, communication, and overall team efficiency.
The right person doesn't need to be told every next step. They are proactive, resourceful, highly organized, comfortable holding others accountable, and constantly asking:
"How can we make this better, faster, or more efficient?"
We are looking for someone who doesn't simply maintain our existing systems-we want someone who will help us build what comes next.
Responsibilities
Operations & Business Management
  • Manage day-to-day team operations and ensure priorities are moving forward.
  • Take ownership of projects from idea through completion.
  • Create, document, and improve systems, processes, SOPs, and checklists.
  • Identify operational gaps and proactively develop solutions.
  • Manage deadlines, calendars, projects, and team commitments.
  • Ensure leadership priorities are translated into clear action plans.
  • Maintain organized records, systems, and operational resources.
  • Continuously look for opportunities to improve efficiency and eliminate unnecessary work.
AI, Technology & Automation
  • Research and evaluate new AI tools, software, and emerging technology.
  • Build and implement AI-powered workflows and automations.
  • Identify repetitive tasks that can be automated or streamlined.
  • Use AI to improve lead generation, lead follow-up, marketing, recruiting, training, and operations.
  • Help improve and maintain CRM systems and technology platforms.
  • Create AI prompts, workflows, templates, and internal resources for the team.
  • Train team members on new technology and encourage adoption.
  • Stay current on new AI capabilities and recommend ways the team can use them.
  • Test new ideas and measure whether they actually improve productivity or results.
Team Accountability & Performance
  • Track team goals, KPIs, commitments, and performance.
  • Maintain scorecards and accountability dashboards.
  • Follow up with team members on commitments and deadlines.
  • Identify areas where team members are falling behind and communicate those gaps.
  • Support leadership in creating a strong culture of accountability.

Events & Client Experience
  • Plan and execute client, community, recruiting, and team events.
  • Manage event calendars, timelines, budgets, venues, vendors, and sponsors.
  • Coordinate invitations, registrations, RSVPs, marketing, supplies, and staffing.
  • Create repeatable event checklists and systems.
  • Coordinate pre-event promotion and post-event follow-up.
  • Track event attendance, leads, contacts, and opportunities generated.
  • Look for creative ways to improve events and increase participation.
Agent Recruiting & Onboarding
  • Help manage and grow the agent recruiting pipeline.
  • Coordinate recruiting campaigns and prospect follow-up.
  • Schedule interviews and maintain communication with candidates.
  • Help organize recruiting events, career nights, and informational sessions.
  • Track recruiting conversations, appointments, interviews, offers, and hires.
  • Use AI, CRM, email, text, and social media to improve recruiting efforts.
  • Coordinate the onboarding process for new agents.
  • Ensure new team members complete required training, systems setup, and initial activities.
  • Help create an exceptional candidate and new-agent experience.
Marketing & Communication
  • Assist with team communications, announcements, campaigns, and promotions.
  • Use AI to help create and organize marketing content.
  • Coordinate marketing for events, recruiting, and team initiatives.
  • Maintain communication calendars and ensure projects are completed on schedule.
  • Work with leadership and agents to keep messaging consistent with the team's brand.
