About the Role

The Creative Operations Lead is the project management backbone for the Design & Media department, which spans Graphic Design, UI/UX, Photography, Videography, and Podcasting. This person owns intake for cross-department requests, manages the ticket queue and project timelines, and is the primary point of contact for stakeholders asking where their request stands. They also run team reporting on throughput, turnaround time, and workload, and keep standups, reviews, and planning meetings on time and productive.

This is not a creative role. It is a coordination, process, and communication role that lets the creative team focus on producing great work.

What Youโ€™ll Do
  • Manage intake and triage for all inbound design and media requests from across the company
  • Own the project management system, including tickets, timelines, and priorities, and keep it current
  • Communicate status updates to requesting stakeholders proactively, not only on demand
  • Facilitate team meetings, including standups, sprint or project reviews, and retros
  • Track and report on team and individual performance metrics, including output, turnaround time, and capacity
  • Flag bottlenecks, resourcing conflicts, and scope creep before they become fire drills
  • Maintain project templates and intake workflows as the team scales
Who You Are Required Qualifications
  • Minimum 6 years of experience in project management, design operations, production coordination, or a related field
  • Excellent written and verbal communication skills, with the ability to translate between creative and non-creative stakeholders
  • Excellent planning and time management skills, with the ability to manage multiple concurrent projects and shifting priorities
  • Demonstrated experience running a ticket or request queue for a creative, design, or media team
  • Comfort presenting metrics and status updates to leadership
  • Experience building or improving intake workflows and project templates
Preferred Qualifications
  • Familiarity with digital asset management (DAM) tools, ideally Air, is a plus given the Photography and Videography workload; experience with similar DAM platforms is acceptable
  • Comfort building recurring dashboards or reports from ClickUp or Jira data; familiarity with a BI tool such as Looker or Tableau is a plus
