JOB SUMMARY
Project Coordinator responsibilities include working closely with the Project Manager to prepare comprehensive action plans including resources, timeframes, and budgets for projects. Project Coordinators perform various coordinating tasks along with administrative duties, like maintaining project documentation. To succeed in this role, you should have excellent time management and communication skills as you will collaborate with clients and internal teams to deliver results on deadlines.
WHAT YOU NEED TO START
  • Must have a valid driver’s license and possess own transportation.
  • Verification of US Citizen or approved to work in the US.
  • A minimum of 2 years’ relevant experience is required.
  • Punctual, motivated, and detail oriented and ability to work on tight deadlines.
  • Excellent typing skills, analytical skills and attention to detail.
  • Competency in Microsoft applications including Word, Excel and Outlook.
  • Possess excellent communication skills and self-supervision.
  • Possess self-motivation and team spirit and be able to work effectively.
  • Ability to work both independently and as part of a team.
  • Strong organizational skills including multitasking and time-management.
  • Ability to diagnose the root cause of issues and think logically about solutions.

RESPONSIBILITIES OF THIS POSITION
  • Responsible for typing bids, setting up job information in the Project Management Software, along with hard copy folders.
  • Responsible for assisting Project Managers with change orders, requests for information, panel schedules and any other project related documents.
  • Responsible for scheduling inspections, pulling permits and coordinating freight deliveries.
  • Responsible for maintaining logging and filing for both digital and hard copies folders.
  • Assembling Operation and Maintenance Manuals for General contractors.
  • Working with copy machines and a plotter for drawings. This includes printing plans and drawings for all Project Managers, foremen, and Estimators.
  • Answer several phone lines, direct calls and handle Service Needed calls.
  • Maintain the Projects Email – Downloading files, responding to vendors, clients/customers, General Contractor’s with professionalism and tact.
  • Responsible for processing submittals
  • Responsible for processing project contracts, obtaining signatures, and submitting to appropriate parties.
  • Request, manage, and file COI’s for all General Contractors, Customers, and Subcontractors
  • Create Initial Job Setups in Project Management Software
  • Document Migration of data between systems
  • Become proficient in the Project Management software, and provide technical assistance to the Project Management team.
  • Assist all team members in the usage of Project Management software
  • Process and save all Project Closeout files
  • Perform yearly filing and shredding of all necessary project files
  • Perform Breakroom maintenance to include, organizing, stocking, and ordering supplies.
  • Maintain office supplies, ordering when more is needed.
