Position Description
Reporting to the Director of Auxiliary Services, the Coordinator of the Mail and Copy Center (M&CC) will manage all aspects of the M&CC and serve as back up for the Receptionist/Switchboard operator as needed.
Position Responsibilities
1. Manage the daily operations of the Campus Mail Center and Copy Center (M&CC).
2. Responds appropriately to "Customer needs" (Faculty, Staff and Students) at the M&CC Service Windows, as well as to telephone calls and emails.
3. Hires, trains and supervises a Student Staff Work Force to operate the M&CC and to provide Customer Service.
4. Creates and manages Student Worker schedules. Reviews and approves Student Worker timecards in MyEastern.
5. Completes his/her tasks collaboratively and constructively with the M&CC Student Staff.
6. Prepares and sorts mail daily for pick-up and delivery to the U.S. Post Office and throughout campus.
7. Creates and maintains Faculty, Staff and Student delivery location lists. Issues and maintains Student mailboxes.
8. Manages "Package Tracking System". Receives and routes campus mail/packages from mail/package "Carrier" (e.g.; USPS, UPS, FedEx, DHL, Amazon, etc.) to appropriate Faculty, Staff and Students.
9. Maintains current knowledge of mail/package Carrier regulations and computerized systems.
10. Collects and maintains forwarding addresses for Campus Resident Students in order to forward mail as needed.
11. Investigates problems or concerns involving lost or misplaced mail/packages within the University.
12. Oversees Copy Center tasks to include receiving, processing and distributing copy work in a timely fashion.
13. Manages "Print Shop" by operating EFI Digital StoreFront Web-to-Print (W2P) software and solution.
14. Generates reports and provides analysis of postage, package tracking, and copy work as requested by supervisor.
15. Maintains and manipulates data for reporting purposes and lists via Microsoft Excel spreadsheets and Word.
16. Proactively orders copy paper and supplies needed for M&CC operations.
17. Oversees EU Campus Switchboard. Trains and equips Student Staff to receive and transfer calls appropriately.
18. Classified and an EU "Essential Employee". Able to work some nights and weekends when needed.

Qualifications
  • Proven organizational and operational skills necessary to efficiently coordinate and complete the daily tasks of the Mail and Copy Center are required.
  • Proven supervisory skills in Customer Service Operations.
  • Skill in identifying and resolving Customer problems.
  • Skill in completing multiple tasks at once.
  • Ability to communicate professionally with Faculty, Staff, Students and Vendors.
  • Ability to work independently and meet managerial goals.
  • Experience in the use of Production Printer/Copier equipment, Postage Meter Mailing machines, Package Tracking Systems, and Telephone Switchboard Operations is preferred.
  • Experience, knowledge and/or ability in operating Digital Storefront Web-to-Print (W2P) software and solutions is also preferred.
  • Ability to complete routine maintenance tasks on the copy machine; good customer orientation; and sensitivity to, and awareness of, confidential materials are essential.
  • Demonstrated advanced knowledge in the use of Microsoft Excel and Word with the ability to manipulate data within spreadsheets and create tables in order to generate reports, mailing labels and lists.
  • Current valid driver license, good driving record and the ability to drive an Eastern University vehicle for the purpose of picking up and dropping off mail, packages, etc. at the local Post Office, throughout the main campus and to campus satellite locations is required.
  • Must be able to lift/transfer 55 pounds.
  • Critical skills: accountability, attention to detail, taking initiative, sense of urgency and flexible communications.
