Job description

The Client Project Manager will contribute to client-specific project tasks and timelines for new products produced at Schwan Cosmetics USA. This role is responsible for coordinating client needs related to product formulas, primary and secondary packaging, decoration, and shipping requirements. The Client Project Manager will assist with leading project team kick-off meetings and support appropriate decisions on behalf of both the company and the client, adapting to changing priorities.


Essential Responsibilities:

  1. Project Oversight and Timeline Management (40%)
    • Monitor all aspects of client-specific new product and/or projects progressing toward leading projects independently with limited supervision.
    • Manage project timelines and collaborate with resources to ensure projects are completed on time, within budget, and at the expected quality level.
    • Adhere to relevant processes and templates used in the project management process.
  2. Client Relationship Management and Decision-Making (20%)
    • Contribute to proactive decisions to maximize client satisfaction and manage changing priorities on behalf of both the company and the client.
    • Actively participate, contribute and provide insight during conference calls and meetings with clients and internal partners, ensuring effective follow-up.
    • Support Senior Project Managers by managing project-related administrative tasks, such as providing SAP information, utilizing Recipe Development Center, Smartsheet, and managing the global projects pipeline.
  1. Quality Assurance and Compliance: (20%)
  • Adhere to understanding and apply working knowledge that all client projects comply with industry regulations, company standards, and client-specific requirements.
  • Complete tasks associated with regular quality reviews and audits to ensure continuous improvement in project delivery.
  • Ensure compliance with environmental, eco-friendly practices.
  1. Operational Data (20%)
    • Manage the creation of product data in operational systems.
    • Coordinate on-site visits with clients for trial runs and shade matching, under the guidance of a Senior Project Manager.
    • Communicate accurate client launch forecasts to Client Services Account Managers to ensure capacity reservations are made in a timely manner.
    • Perform additional tasks as required by the project or department.
    • Respond to QN’s (Quality Notifications) in a timely manner.

Minimum Qualifications:

  1. Education:
    • Bachelor’s degree preferred or relevant experience.
  2. Experience:
    • 1-3 years of project management experience required, with a preference for a manufacturing or quality environment.
  • Strong understanding of cosmetic manufacturing processes and product knowledge.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple projects simultaneously.
  • Strong problem-solving and negotiation abilities.
  • Proficient in using CRM, ERP software and Microsoft Office Suite, i.e. Microsoft Projects
  • Self-motivated, proactive, and detail oriented.
