Job description

Position Summary
The Facilities Services Manager is responsible for the day-to-day coordination, supervision, and performance management of subcontracted service providers and in-house hourly maintenance technicians. This role ensures facilities are maintained safely, efficiently, and in accordance with contractual obligations, service level agreements (SLAs), and company standards.
The position serves as the primary point of accountability for work execution, vendor compliance, labor utilization, and service quality across assigned facilities or accounts.
Key Responsibilities
Subcontractor & Vendor Management
  • Manage subcontracted service providers across trades (e.g., HVAC, electrical, plumbing, janitorial, landscaping, specialty services)
  • Ensure vendors meet contractual scope, quality standards, safety requirements, and response times
  • Conduct routine performance reviews, audits, and site inspections
  • Coordinate scheduling, work orders, and corrective actions for underperforming vendors
  • Validate invoices, labor hours, and completed work against contracts and scopes

Maintenance Technician Supervision
  • Directly supervise hourly maintenance technicians, including scheduling, task assignments, and daily priorities
  • Ensure technicians are properly trained, equipped, and working safely
  • Monitor productivity, attendance, and quality of work
  • Support hiring, onboarding, training, and performance management activities
  • Provide hands-on guidance and escalation support as needed

Work Order & Service Execution
  • Oversee preventive maintenance (PM) and reactive maintenance programs
  • Ensure work orders are completed accurately, on time, and documented properly
  • Track backlog, response times, and completion rates
  • Coordinate emergency and after-hours service response when required

Safety, Compliance & Standards
  • Enforce safety policies, OSHA requirements, and site-specific rules
  • Ensure all technicians and subcontractors follow compliance, PPE, and permit requirements
  • Support audits, inspections, and customer reviews
  • Maintain documentation for training, certifications, and compliance records

Customer & Stakeholder Communication
  • Act as the primary on-site or account-level contact for facilities maintenance issues
  • Communicate service status, issues, and resolutions to clients and internal leadership
  • Participate in customer meetings, walkthroughs, and service reviews

Reporting & Continuous Improvement
  • Track KPIs including labor utilization, vendor performance, cost control, and service quality
  • Identify opportunities for efficiency, cost savings, and service improvements
  • Support budgeting, forecasting, and contract optimization efforts

Required Qualifications
  • 3-7 years of experience in facilities maintenance, building operations, or technical services
  • Experience managing both subcontractors and hourly maintenance staff
  • Strong working knowledge of building systems (mechanical, electrical, plumbing, general facilities)
  • Ability to read scopes of work, contracts, and service agreements
  • Strong organizational, communication, and problem-solving skills

Preferred Qualifications
  • Multi-site or large-account facilities experience
  • CMMS experience (e.g., Maximo, Corrigo, Maintenance Connection, ServiceChannel)
  • OSHA 10 or 30 certification
  • Trade background or technical certification

Work Environment & Physical Requirements
  • Combination of office and field environment
  • Ability to walk facilities, climb ladders, and access mechanical spaces
  • Occasional after-hours or on-call support may be required
