Contractor Services Coordinator
Our client is seeking a Contractor Services Coordinator who will play a crucial role in supporting the effective management of our contractor workforce. This position is responsible for coordinating various aspects of contractor services management, with a focus on the procurement process and purchase order management, while also providing analytical insights to optimize contractor utilization and cost management.
Tasks
- Purchase Order Management:
- Work closely with procurement on Purchase Orders (POs) for contractor services, ensuring accuracy of information and compliance with procurement policies.
- Track POs throughout their lifecycle, from issuance to closure, monitoring key milestones and approvals.
- Serve as the primary point of contact for inquiries and issues related to contractor POs, facilitating communication between procurement and technical representatives.
- Maintain accurate records of all contractor-related POs and associated documentation in relevant systems.
- Monitor adherence of Project responsibilities with respect to Contractor roles including, but not limited to, timely support of timecards and cost code distribution.
- Contract and Performance Management:
- Maintain accurate records of contractor information, contracts, and performance evaluations in relevant systems.
- Monitor contractor time and expenses against POs, ensuring accurate invoicing and payment processing.
- Spend and Performance Analysis:
- Gather and analyze data on contractor spend, performance, and utilization across the organization, with a focus on PO-level analysis.
- Develop reports and dashboards to provide insights into contractor trends, identify cost-saving opportunities, and support strategic decision-making related to contractor procurements.
- Analyze contractor performance metrics to identify areas for improvement and provide recommendations to hiring managers and technical representatives.
- Process Improvement:
- Support the development and implementation of contractor management policies and procedures, with a focus on streamlining the PO process and improving efficiency.
Key Qualifications and Skills
- Bachelor's degree in Business Administration, Supply Chain Management, Human Resources, or a related field.
- 3+ years of experience in a coordinator or analyst role, with demonstrated experience in procurement and contractor management.
- Strong understanding of procurement processes, purchase order management, and contract negotiations.
- Proficient in data analysis and reporting tools (e.g., Excel, Power BI, Tableau).
- Experience with human resource information systems (HRIS), procurement systems, or contractor management systems is a plus.
- Experience with Oracle and Atlassian tools such as Confluence and JIRA is a plus.
- Demonstrated experience working with highly multidisciplinary and matrixed teams.
- Strong organizational, analytical, and problem-solving skills required.
- Excellent oral and written communication skills.
