Job description

We are looking for a detail-oriented Administrative Assistant to support a property management team in Waukesha, Wisconsin. This Contract position is fully onsite and offers the opportunity to contribute to condominium and resident service operations in a collaborative office environment. The ideal candidate is comfortable managing a variety of administrative assignments, communicating with multiple stakeholders, and keeping daily workflows organized and accurate.
Responsibilities:
• Support the condominium division with day-to-day administrative work, ensuring documents, records, and requests are handled promptly and accurately.
• Respond to inbound calls professionally, manage difficult conversations with composure, and direct inquiries to the appropriate team members when needed.
• Draft, format, and prepare letters, notices, and other written communications for residents, vendors, and internal staff.
• Coordinate outgoing mail and assist with distribution of operational and resident-related correspondence.
• Work with contractors and internal staff to help relay updates connected to maintenance activities and property service matters.
• Assist with audit-related administrative tasks, including gathering information and organizing documentation for insurance reviews.
• Maintain detailed notes, update records, and enter information into spreadsheets and internal systems with a high degree of accuracy.
• Use Microsoft Word and other office tools to complete reports, correspondence, and project-based assignments while balancing requests from multiple team members.• At least 3 years of administrative assistant or office support experience.
• Strong written communication and typing skills with the ability to produce accurate, well-prepared documents.
• Experience handling inbound phone calls and interacting courteously with a wide range of callers.
• Proficiency with Microsoft Word and spreadsheet-based work, including data entry and document updates.
• Demonstrated ability to stay organized, manage several priorities at once, and follow direction from multiple colleagues.
• High attention to detail with strong note-taking and recordkeeping skills.
• Property management experience is preferred, especially within condominium, HOA, or resident-focused environments.
