Description

We are seeking a dynamic and detail-oriented Project Administrator to join our team in Mirabel. In this role, you will play a key part in supporting contract and financial activities, directly contributing to the performance and success of our programs.

Duties & Responsibilities

  • Support contract administration and financial activities to contribute to program performance and delivery.
  • Collaborate with Project Managers and cross-functional teams to support budget management, billing, and financial tracking.
  • Prepare proformas, budgets, and support monthly financial reporting and updates.
  • Manage billing processes, including credit notes and expense validation (e.g., travel expenses).
  • Create, track, and maintain purchase orders.
  • Monitor project milestones and accounts receivable to ensure timely follow-up.
  • Maintain and update management tools, including the Project Index.
  • Contribute to annual operating plan (AOP) development and monthly financial updates.
  • Participate in proposal development and financial planning activities.
  • Prepare reports, including Canadian content reporting, as required.
  • Perform Oracle R12 reconciliations and support data integrity across systems.
  • Manage multiple priorities effectively in a dynamic and fast-paced environment.

Minimum Qualifications

  • Minimum of 2 years of relevant experience in project administration, finance, or a related field.
  • College diploma (DEC) in Accounting, Administration, or a related discipline.
  • Advanced proficiency in Microsoft Excel and strong working knowledge of MS Office tools.
  • Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Effective communication and teamwork skills.
  • Proven ability to work autonomously and solve problems proactively.
  • Bilingual in French and English (spoken and written)

Preferred Qualifications

  • Experience with Oracle R12 or similar ERP systems.
  • Experience in budget planning, forecasting, or financial reporting.
