Spirit Omega Inc. is seeking a detail-oriented and organized Project Contract Administrator to support one of our valued clients in Edmonton, Alberta. This position plays a key role in supporting project teams by managing contracts, purchase orders, procurement activities, and vendor relationships throughout the full project lifecycle.

The successful candidate will work closely with Project Managers, Project Engineers, Procurement teams, Legal representatives, and external vendors to ensure contracts are executed, administered, and maintained effectively from project initiation through closeout.

Key Responsibilities
  • Create, review, administer, and manage contracts and master service agreements to support project requirements.
  • Ensure compliance with applicable procurement policies, spending authorities, and trade agreement requirements.
  • Prepare, issue, and manage purchase requisitions and purchase orders.
  • Coordinate with vendors, consultants, and contractors to obtain quotes, estimates, and proposals.
  • Support negotiation of contract variations, claims, change orders, and dispute resolutions in collaboration with project teams and legal stakeholders.
  • Monitor contract performance and ensure all contractual obligations are fulfilled.
  • Communicate contract changes, amendments, and requirements to key stakeholders.
  • Facilitate contract lifecycle management, including planning, execution, performance monitoring, and closeout activities.
  • Track procurement schedules and ensure alignment with project execution plans and timelines.
  • Interface with project teams, internal departments, and external suppliers regarding costs, progress, vendor performance, reporting, payments, and contract compliance.
  • Generate and maintain procurement and contract-related reports.
  • Receive goods and services within Oracle and ensure accurate documentation of transactions.
  • Maintain contract files and records in accordance with company policies and procedures.

Requirements

  • Diploma or Degree in Business Administration, Supply Chain Management, Commerce, Project Management, or a related field.
  • 3+ years of experience in contract administration, procurement, project controls, or contract management.
  • Experience supporting large capital, industrial, infrastructure, construction, or engineering projects is considered an asset.
  • Knowledge of contract administration principles and procurement processes.
  • Experience working with Oracle or similar ERP systems.
  • Strong understanding of purchase orders, contract management, and vendor relations.
  • Excellent negotiation, communication, and stakeholder management skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, particularly Excel and Word.
Preferred Skills
  • Experience supporting project-based environments.
  • Knowledge of public procurement and trade agreement requirements is an asset.
  • Strong analytical, problem-solving, and reporting capabilities.
  • Ability to work independently while collaborating effectively with multidisciplinary teams.
