Job description

Objective

City Wide Facility Solutions of Wichita is seeking an experienced, highly organized Operations Business Manager to oversee day-to-day office operations and serve as a central point of coordination across the organization.ย  This role is critical to the success of our office and requires someone who brings not only strong administrative and technical skills, but also the right personality and cultural alignment to thrive in a collaborative environment.

This position serves as a go-to resource between multiple departments, requiring strong interpersonal skills, clear communication, and the ability to build trust across teams.ย  The ideal candidate is approachable, dependable, solution-oriented, and comfortable working with leadership, sales, operations, accounting, and contractors daily.

Essential functions

ย ย ย ย ย ย ย ย  Serve as a primary point of contact and internal liaison between multiple departments

  • Maintain accurate electronic customer, contractor, and employee records
  • Develop, document, and implement Standard Operation Procedure (SOPs)
  • Provide operational administrative support, including:
    • Customer and Independent Contractor (IC) document creation and management
    • Regulatory compliance tracking for clients and Contractors
    • CRM system administration and data integrity
  • Support new client onboarding by verifying account setup through direct client outreach.
  • Ensure all client and contract documentation and billing is accurate, complete, and properly routed to accounting
  • Monitor and assist in resolving client and vendor issues in a timely manner
  • Submit invoices through construction portals as required
  • Prepare and distribute reports and dashboards to support strategic decision-making
  • Provide administrative support to the Director of Sales (DOS) and Director of Operations (DOO)
  • Support bookkeeping, accounting, and basic HR-related administrative functions
    • Manage collections and follow up on outstanding client balances
    • Oversee supply orders to ensure accurate billing
  • Answer incoming phone calls and route inquiries professionally and courteously
  • Perform ad hoc duties and special projects as assigned

Requirements

ย ย ย ย ย ย ย ย  3-5 years' experience as a Business Operations Manager

ย ย ย ย ย ย ย ย  Demonstrated ability to work cross-functionally with multiple departments

ย ย ย ย ย ย ย ย  Strong personality and cultural awareness with a collaborative, team-first mindset

ย ย ย ย ย ย ย ย  Advanced proficiency in Microsoft Office (Outlook, Excel, Word, Teams, and related programs)

ย ย ย ย ย ย ย ย  Prior CRM system experience required

ย ย ย ย ย ย ย ย  Experience with bookkeeping and/or accounting

ย ย ย ย ย ย ย ย  Working knowledge of Human Resources principle and best practices

ย ย ย ย ย ย ย ย  Strong organizational and multitasking skills
