Summary
The Catering & Events Specialist supports the planning, coordination, and execution of catering events, weddings, and other special events at Black Butte Ranch. This role works closely with clients to understand their food and beverage, event space, and service needs while identifying opportunities to showcase and promote the Ranch's venues, amenities, and services.
Working collaboratively with clients, vendors, Food & Beverage leadership, Catering staff, and other internal departments, the Catering & Events Specialist helps ensure events are thoughtfully planned and seamlessly executed. The ultimate goal of this position is to deliver an exceptional hospitality experience while supporting event and catering revenue.
Responsibilities
  • Meet with prospective and existing clients to understand event needs and recommend appropriate Black Butte Ranch venues, food and beverage offerings, services, amenities, attractions, and vendors.
  • Identify opportunities to sell and upsell Ranch offerings that enhance the overall guest and event experience.
  • Create, process, distribute, and maintain Banquet Event Orders (BEOs), contracts, calendars, schedules, and other event documentation.
  • Serve as a liaison between clients and internal departments, communicating event details, updates, and BEO changes to appropriate stakeholders.
  • Coordinate and attend wedding tastings, property tours, and site visits.
  • Attend events and provide onsite support as needed to help ensure successful execution.
  • Coordinate day-of event setup and execution expectations with the Catering team and other supporting departments.
  • Collect and accurately record event deposits and payments.
  • Maintain accurate client and event records and generate reports or analysis as requested.
  • Assist the Chief Marketing Officer and Catering & Events Sales Manager with lead generation campaigns and related sales activities.
  • Attend and represent Black Butte Ranch at networking functions and events.
  • Maintain the confidentiality and security of client information, correspondence, reservations, reports, and files.
  • Perform other duties as assigned.

Qualifications
  • Minimum of two years of experience in hospitality, banquets, catering, event planning, or a related role.
  • Current Oregon Food Handler Card and OLCC service permit, or ability to obtain as required.
  • Strong organizational, time management, and project management skills.
  • Excellent written and verbal communication skills with a strong customer-service mindset.
  • Strong attention to detail and ability to maintain accurate records and event documentation.
  • Ability to manage multiple priorities, adapt to changing needs, and meet deadlines in a fast-paced environment.
  • Strong problem-solving skills with the ability to work effectively both independently and collaboratively.
  • Proficiency with Microsoft 365 and the ability to quickly learn new technology and systems.
  • Ability to work a flexible schedule based on event needs, including evenings, weekends, and holidays.
