Duties and Responsibilities
Essential Duties and Responsibilities
The Police Operations Coordinator supports law enforcement operations, records management, and campus security. Responsibilities include monitoring security systems, maintaining police records and evidence, ensuring regulatory compliance, and managing department resources. The role also supervises part-time police aides, oversees fleet and equipment management, and serves as a liaison with external law enforcement agencies. With a focus on safety, compliance, and operational efficiency, this position plays a vital role in campus security.
Characteristic Duties and Responsibilities
  1. Monitor and manage security infrastructure, including campus-wide surveillance cameras, access control systems, and emergency alert systems.
  2. Act as the central coordinator for dispatch and officer communication, ensuring real-time response to security threats and emergencies.
  3. Conduct security risk assessments and compliance audits, identifying potential vulnerabilities and recommending corrective actions.
  4. Develop and implement police department standard operating procedures (SOPs) to enhance law enforcement efficiency.
  5. Coordinate inter-agency law enforcement efforts, ensuring seamless collaboration with external policing entities.
  6. Maintain and oversee law enforcement records, criminal reports, subpoenas, and confidential case documentation, ensuring compliance with Texas Public Information Act, Clery Act, and CJIS requirements.
  7. Manage the evidence room, ensuring proper chain-of-custody procedures, secure storage, and legal disposition of property and evidence.
  8. Respond to open records requests, legal subpoenas, and audit inquiries, ensuring all disclosures comply with applicable laws.
  9. Conduct periodic audits of police department files, evidence inventory, and case tracking systems.
  10. Oversee departmental budgets and financial transactions, tracking purchases for uniforms, duty gear, fleet maintenance, and law enforcement technology.
  11. Manage police fleet operations, ensuring vehicles are properly maintained, fueled, and serviced.
  12. Oversee procurement and vendor contracts for security technology, patrol equipment, and surveillance upgrades.
  13. Maintain an inventory of departmental assets, ensuring proper distribution and accountability for police resources.
  14. Supervise and oversee part-time police aides, ensuring adherence to department policies and operational guidelines.
  15. Assist in training new department staff on law enforcement administrative procedures, security protocols, and compliance requirements.
  16. Serve as a liaison between the police department, campus administration, and external law enforcement agencies.

Qualifications/Certifications/Licenses/Skills

Required:
  • Associate's degree in Criminal Justice, Public Administration, Law Enforcement, or a related field.
  • Minimum of four years of experience in law enforcement administration, records management, or security operations.
  • Proficiency in law enforcement reporting systems, records retention policies, and regulatory compliance (Or willing to obtain within six months):
    • Texas DPS CJIS Certification
    • Certified Law Enforcement Records Manager (CLERM)
    • TCOLE Evidence & Property Room Management Certification
    • Emergency Management (FEMA, ICS, NIMS) Training

Preferred:
  • Bachelor's degree in Criminal Justice, Security Management, or Compliance.
  • Certification in Law Enforcement Records Management, TCOLE Evidence & Property Room Management, or Emergency Management (FEMA, ICS, NIMS).
  • Experience working in a higher education law enforcement environment.
  • Familiarity with CJIS security policies, Clery Act compliance, and emergency response coordination.

Knowledge, Skills and Abilities
  • Law Enforcement Compliance & Reporting - Strong knowledge of CJIS, Clery Act, FERPA, and chain-of-custody procedures.
  • Security Systems & Surveillance Oversight - Proficiency in campus-wide security monitoring and incident reporting.
  • Evidence & Property Room Management - Expertise in evidence intake, tracking, and legal disposition.
  • Budget & Resource Management - Experience managing police department finances, fleet operations, and procurement processes.
  • Supervisory & Leadership Abilities - Capable of training, supervising, and directing part-time police aides and security personnel.
  • Crisis & Emergency Response Coordination - Ability to prioritize law enforcement tasks, manage high-pressure situations, and coordinate emergency responses.
