The Link & Option Center, Inc. is a Joint Commissionโ€“accredited outpatient State Certified Community Behavioral Health Clinic (CCBHC) serving the far Southside community and designated to serve the Southland region with locations in South Holland and Hazel Crest, Illinois. Founded in 1994, The Link & Option Center, Inc., provides comprehensive behavioral health services including assessment, psychiatry, therapy, crisis services, case management, and care coordination.

POSITION SUMMARY:

The Event Planner will plan, execute and ensure that the event runs smoothly and meets the expectations of The Link & Option Center, Inc. This role will understand the operational delivery of events by working with the President/CEO and Project Manager regularly and being on hand to step in and assist where necessary.

This person will understand the Culture of The Link & Option Center, Inc., and what is expected to achieve while undertaking events.

ESSENTIAL FUNCTIONS:

  • Help to develop an event concept that maximizes the occasion for exposure, enjoyment, and fundraising. Help to set pricing for sponsorships.
  • Work with designated client representatives to identify and plan recruitment strategy for honorees, if appropriate, and event leadership.
  • Work with designated client representatives to coordinate and maximize the volunteer efforts of event leadership.
  • Work with event leadership to develop and implement the sales strategy to recruit a committee of sponsors.
  • Work with designated client representatives to prepare and distribute solicitation outreach, including customized electronic outreach, of key event leadership, as requested.
  • Complete past donor analysis, review prospect lists, and assist with new list development as required and requested.
  • Work with designated client representatives to develop and implement a targeted and personalized donor renewal strategy.
  • Coordinate and assist, as requested, with the distribution of electronic or physical (if applicable) event materials to an existing donor and prospect list.
  • Work with designated client representatives to assist, as requested, with all physical arrangements of the event (if applicable), including, but not limited to, finding a mutually agreeable date and managing venue, A/V company, dรฉcor, photographer, set-up, and food and beverage. Serve as the primary contact for selected vendors as requested.
  • Explore, if appropriate, event revenue enhancements and assist in the development of chosen format for successful implementation.
  • Develop, as requested, an event minute-by-minute timeline (run-of-show). Work with designated client representatives to design and implement the program, including any arrangements necessary for individual participants, honored guests, entertainers, or guest speakers.
  • Work with designated client representatives to capture donor fulfillment information, including, but not limited to, preferred listings and logos.
  • Work with designated client representatives to coordinate the distribution of event information and instructions to all donors.
  • Work with designated client representatives to determine seating assignments (if applicable) and coordinate the distribution of reservation information to all donors.
  • Handle on-site coordination of the event (if applicable), including will-call, seating, entertainment, and basic minute-by-minute implementation. If the extent of the minute-by-minute implementation (run-of-show) is more complicated, a mutually agreeable production manager will be retained at an additional expense and billed to client.
  • Administer collection of event receipts as requested and forward all funds to client, or as otherwise directed. Prepare and distribute financial reports as requested.
  • Assist, as requested, with simple graphic design of supplemental pieces, including, but not limited to, solicitation reply form, attendee seating materials, and donor cards. These supplemental pieces would use finalized design concept assets provided by the client. Additional charges will apply based on the extent of use. Overall event graphic design concept is not provided.
  • Be approachable and a Team Player with the agency and your team.
  • Work well on your own when given necessary directives.
  • Have a real eye for detail, the ability to solve problems on the go and be flexible to changing needs of the agency.
