Position Overview | The Big Picture

We are seeking a creative and detail-oriented Design & Event Procurement Coordinator to join our team. In this role, you will be responsible for sourcing, purchasing, and negotiating décor, event materials, and supplies to ensure high-quality execution at the best possible value.

You will collaborate closely with Sales and Production teams to bring event visions to life, while also managing vendor relationships and staying ahead of design trends. This role offers the opportunity to attend trade shows, source unique décor, and make a direct impact on the aesthetic and success of our events.

What You’ll Do | The Fun Stuff

  • Source and procure décor, materials, and supplies for events and operations
  • Research, evaluate, and manage vendor relationships
  • Negotiate pricing, contracts, and delivery terms
  • Monitor inventory levels and optimize purchasing strategies
  • Partner with Sales and Production to ensure event readiness
  • Track orders, resolve product availability issues, and communicate updates
  • Approve purchase orders, invoices, and resolve discrepancies
  • Identify new sourcing opportunities and supply chains
  • Attend trade shows to discover trends and unique décor items
  • Contribute creative ideas to enhance event design and aesthetics
  • Recommend process improvements to increase efficiency and quality

What You Bring

  • 3+ years of experience in procurement, purchasing, event sourcing, or décor buying
  • Strong eye for design and awareness of industry trends
  • Proven negotiation and vendor management skills
  • High attention to detail and strong organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Office (especially Excel)
  • Excellent communication and problem-solving abilities
  • Experience with event or floral design is a plus
  • Project management experience preferred
  • Willingness to travel and attend trade shows
