Job Description Summary:

The Catering Event Coordinator supports the planning, coordination, and administrative management of catering and special events across all SBR Events Group brands. This role works closely with the Director of Sales and assigns Catering Sales and Event Consultant(s) to assist in the successful coordination and execution of client events.

This position is ideal for an organized, detail-oriented individual interested in developing a career in catering, hospitality, or special events while contributing to a fast-paced, collaborative environment.

JOB DUTIES
Key Accountabilities

Catering event management and administrative responsibilities directly supporting assigned Catering Sales and Event Consultant(s) and the Director of Sales. Responsibilities may include business development support, event proposal and contract generation, client communication, vendor coordination, and serving as a communication liaison between the Event Consultant(s) and SBR operations and culinary teams to support successful event execution.

Duty Statements

  • Support SBR’s Drop-off, Set-up, Pick-up Program and act as a facilitator of order entry for Drop-off, Set-up, Pick-up events.
  • Conduct research to source special products and services needed for client events.
  • Assist in developing menus, client proposals, and creative concepts for special events.
  • Work with subcontractors and vendors to obtain quotations, communicate event status updates, place orders, and reconcile vendor costs versus retail pricing.
  • Assist in the preparation and coordination of event-related proposals and contracts that support client needs and event objectives.
  • Create BEOs, purchase orders, production schedules, timelines, floor plans, run of show documentation, waivers, tasting photos, COIs, venue information, and other event-related documentation while ensuring all information is properly linked to events.
  • Assist clients by facilitating communication, providing information, and servicing client needs in conjunction with the assigned Catering Sales and Event Consultant.
  • Act as a communication liaison between Event Consultants, clients, culinary, operations, production teams, vendors, and venues to support successful event execution.
  • Attend, participate in, and document internal and external operations, sales, and client meetings necessary for the coordination and successful planning of events.
  • Occasionally participate in on-site event production, assisting with event setup, décor, food and beverage presentation, and management of production details while interacting professionally with clients, vendors, venues, and event staff.
  • Assist assigned Event Consultant(s) with venue outreach, client follow-up, and sales-related support projects by providing information, support materials, quotations, and administrative coordination.
  • Track deposits, payments, signed contracts, COIs, and required event documentation to ensure events remain accurate and execution ready.
  • Assist assigned Catering Sales and Event Consultant(s) with tastings, walkthroughs and planning meetings when additional coordination support is needed due to competing priorities, scheduling demands or event volume.
  • Assist in ensuring event details, timelines, and deliverables are complete, accurate, and prepared for execution.
  • Perform additional tasks as assigned by the Sales Director.
