Job description

Renewal by Andersen is the custom division of Andersen Windows. Founded in 1903, Andersen Windows has been the world's largest and most recognized brand for exclusive window and door systems. Renewal by Andersen was founded with the objective of creating a different and better window and door replacement experience for homeowners.

The Contract Administrator acts as a vital link between Sales and Production, ensuring all contracts are complete, accurate, and ready for processing. Reporting to the Intake & Ordering Lead, this role reviews incoming contracts, verifies documentation, communicates corrections, manages job holds, converts opportunities in rForce, and maintains digital files.

Key Responsibilities:

  • Contract Review: Verify customer info, product specs, pricing, permits, signatures, financing, and other required documentation.
  • Issue Resolution: Identify and communicate missing or incorrect info, place jobs on hold if needed, track follow-ups, and escalate unresolved issues.
  • CRM Management: Convert approved opportunities to sold orders in rForce, ensuring data accuracy.
  • File Management: Upload and organize all related documents securely and systematically within rForce.
  • Quality Control: Ensure orders meet standards before production, identify error trends, and support process improvements.
  • Duplicate & Exception Control: Prevent billing duplicates, canceled jobs, and overlapping schedules.
  • Performance Metrics: Maintain accuracy, timeliness, professionalism, and compliance in contract processing.

Qualifications & Skills:

  • High school diploma required; degree in related field preferred.
  • At least 2 years' experience in contract/order processing or similar roles.
  • Knowledge of window/door products and installation is a plus.
  • Proficiency with rForce (Salesforce), Microsoft Office, and digital filing.
  • Strong attention to detail, organization, communication, and problem-solving skills.
  • Ability to work independently and collaboratively, managing high volumes and prioritizing effectively.
