About the Role

We are seeking a professional and customer-focused Facilities Representative to support daily office operations and ensure a positive workplace experience for employees, visitors, and vendors. This role combines front desk responsibilities, facilities coordination, vendor management, meeting support, and light administrative duties in a corporate office environment.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities while providing excellent customer service.

Key ResponsibilitiesFront Desk & Visitor Management
  • Serve as the primary point of contact for employees, guests, and vendors.
  • Sign for incoming packages and notify associates of deliveries.
  • Ensure all visitors and guests properly sign in.
  • Assist employees who have misplaced or forgotten their identification badges.
Facilities Operations
  • Conduct daily office walkthroughs to ensure workspaces, breakrooms, and common areas remain clean and operational.
  • Identify and report maintenance, safety, housekeeping, and facility concerns.
  • Monitor office equipment and amenities to ensure proper functionality.
  • Follow up on facility-related issues and coordinate resolution efforts.
  • Escalate building maintenance issues, repairs, and operational concerns as needed.
Vendor Management & Purchasing
  • Coordinate with service providers and vendors for repairs, inspections, office services, and supply deliveries.
  • Schedule vendor visits and escort vendors while onsite.
  • Process vendor onboarding and maintain vendor information.
  • Create purchase orders and manage invoice submissions.
  • Order office supplies and coordinate replenishment of workplace amenities.
Meeting & Event Coordination
  • Support large onsite meetings and events.
  • Reserve conference rooms and coordinate room setup requirements.
  • Manage visitor sign-in processes for external attendees.
  • Coordinate catering deliveries and vendor access.
  • Ensure meeting spaces are clean and reset after events.
Ticket & Request Management
  • Monitor facility-related requests and service tickets.
  • Route requests to appropriate teams for resolution.
  • Organize and manage inquiries received through shared inboxes and ticketing platforms.
  • Track open requests and follow up as necessary.
Qualifications
  • Front desk, office administration, or facilities coordination experience
  • Strong customer service and communication skills
  • Vendor management and coordination experience
  • Ability to multitask and prioritize in a fast-paced office environment
  • Strong organizational and problem-solving abilities
  • Proficiency with Microsoft Office Suite
  • Professional demeanor and attention to detail

Monday-Friday 9am-3:30 - 30 hours a week

Pay and Benefits

The pay range for this position is $19.00 - $21.00/hr.
