Overview

Knowledge Services, a leading multidisciplinary organization in the software, professional services, and cyber security industry, is seeking a Talent Services Coordinator.

  • The Talent Services Coordinator supports the onboarding, compliance, and employee relations processes for the contingent workforce by executing tasks within established workflows and under the guidance of senior team members.
  • This role serves as a key point of contact for candidates, recruiters, and internal stakeholders, ensuring timely and accurate completion of employment documentation and system updates.
  • Operating in a high-volume, fast-paced environment, the coordinator applies foundational knowledge of HR systems, employment regulations, and operational procedures to deliver consistent, service-oriented support.
  • This position plays a critical role in maintaining data integrity, facilitating smooth onboarding experiences, and contributing to the overall efficiency of Talent Services operations.
Responsibilities

Talent Services Coordinator Responsibilities:

Operational and Systems Execution

  • Support onboarding activities by collecting and uploading pre-hire documentation, scheduling screenings, and assisting with I-9 verifications.
  • Maintain personnel files and ensure documentation is complete and stored according to internal standards with accuracy and timeliness.
  • Assist with first-day logistics and basic timekeeping setup.
  • Operate within established platforms and workflows to support data entry and process execution.
  • Escalate system or documentation issues to senior staff for resolution.

Payroll and Data Validation

  • Ensure weekly time entry is submitted and collected for the contingent workforce.
  • Validate basic timekeeping data and flag discrepancies for review.
  • Respond to routine payroll-related inquiries and escalate complex issues to senior staff.
  • Assist with compiling data for reports and trackers as directed.

Employee Relations and Compliance Support

  • Serve as a first point of contact for questions related to onboarding, policies, and procedures.
  • Document and escalate concerns and complaints to senior staff.
  • Assist in tracking documentation for Workplace Investigations, FMLA, ADA, Workers ' Compensation, and Unemployment Insurance.
  • Maintain confidentiality and professionalism when handling sensitive employee information.
  • Support compliance efforts by ensuring required documentation is complete and properly filed
Qualifications

Talent Services Coordinator Requirements:

  • 1+ years of experience in HR, staffing, recruiting, administrative support, employee relations or onboarding, preferably in a high-volume or contingent workforce environment
  • Foundational understanding of employment laws, onboarding processes, and HR documentation standards.
  • Familiarity with HRIS, ATS, or timekeeping systems; experience with ADP or similar platforms is a plus.
  • Strong attention to detail and ability to manage multiple tasks with accuracy and timeliness.
  • Effective written and verbal communication skills, with a customer service mindset.
  • Ability to follow established workflows and escalate issues appropriately.
  • Demonstrated professionalism, discretion, and commitment to maintaining confidentiality.
