Job Title: Contingent Workforce Vendor Coordinator

Duration: 12-Month Contract

Location: Chicago, IL (Hybrid)


Job Summary

We are looking for a Contingent Workforce Vendor Coordinator to support the day-to-day management of the client's vendors, contingent workforce, and consulting engagements. This role will help maintain accurate records, coordinate vendor activities, support audits, and ensure operational processes are completed efficiently. The ideal candidate is organized, detail-oriented, and comfortable working with multiple teams.


Responsibilities

  • Manage the onboarding, tracking, and offboarding of contingent workers.
  • Review quarterly vendor rosters and ensure contractor records are accurate.
  • Maintain an up-to-date list of contingent workers and vendor information.
  • Help manage consulting engagements and keep engagement records current.
  • Support vendor governance activities and maintain required documentation.
  • Track vendor performance information and prepare operational reports.
  • Maintain accurate data in systems such as ServiceNow, Workday, SharePoint, and Microsoft Teams.
  • Reconcile vendor and workforce data to ensure accuracy.
  • Assist with audit and compliance requests by gathering and organizing required documentation.
  • Manage the vendor management mailbox and coordinate incoming requests.
  • Track tasks and follow up with business teams and vendors as needed.
  • Maintain process documentation, procedures, and operational guides.
  • Identify opportunities to improve processes and keep documentation up to date.
  • Collaborate with internal stakeholders and vendors to support daily operations.


Qualifications

  • Bachelor's degree in Business, Operations, Information Systems, or a related field, or equivalent work experience.
  • 5–7+ years of experience in vendor management, procurement, contingent workforce management, or operations.
  • Experience supporting audit, compliance, or regulatory processes is preferred.
  • Experience with ServiceNow, Workday, SharePoint, Microsoft Teams, and Microsoft Office.
  • Strong organizational and problem-solving skills.
  • Excellent attention to detail with the ability to maintain accurate records.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and interpersonal skills, with the ability to work effectively with cross-functional teams and vendors.
