Job description

SOME (So Others Might Eat) provides material aid and comfort to our vulnerable neighbors in Washington, DC, helping them break the cycle of poverty and homelessness through programs and services that save lives, improve lives, and help transform the lives of individuals and families, their communities, and the systems and structures that affect them.
Our more than 30 programs throughout the district provide comprehensive services that lead to mental and physical health, continued sobriety, job training, living-wage employment, and affordable housing. We meet immediate needs with food, clothing, and healthcare, and offer the tools one needs to live with hope, dignity, and greater independence.
Compensation: We offer our employees a competitive compensation and benefits package that reflects our organizational culture, mission, and core values. The hourly range for this position is $31.53 to $34.00 and may be commensurate with experience.
Position Description: The HR Operations Coordinator provides comprehensive administrative and operational support to the Human Resources Department, ensuring accuracy, compliance, and a positive employee experience throughout the employment lifecycle. This role manages employee records and maintains HRIS data integrity, serves as the ADP and HR systems superuser, and supports payroll administration and routine audits.
The HR Operations Coordinator also leads the coordination and enhancement of the new hire onboarding and orientation process, partnering closely with recruiters and hiring managers to ensure a seamless transition from offer acceptance through the employee's start date. In addition, the role develops onboarding materials and supports organization-wide HR communications, including maintaining HR SharePoint and ADP homepage content. Additional responsibilities include administering business card requests in alignment with organizational branding standards and supporting departmental initiatives and Continuous Quality Improvement efforts.
Schedule: Monday - Friday, 8:00 am - 4:30 pm; This is a hybrid position. Must work onsite up to (3) days per week, (2) days remote; Eligible after a 90-day probationary period.
Required: High school diploma; at least 2-3 years of Human Resources Experience or 4 years of administrative assistant experience
Preferred: Bachelor's degree with 3 years' experience and bilingual in English and Spanish; experience with ADP Workforce Now.

Expected Contributions: New Hire Onboarding & Orientation Support
  • Support new hire orientation by preparing materials, facilitating onboarding processes, and ensuring a positive employee experience.
  • Serve as a facilitator/trainer for new hire orientation sessions, delivering presentations and responding to employee questions as needed.
  • Partner with HR and leadership to ensure onboarding content remains current and aligned with company policies and systems.
Payroll & HRIS Administration
  • Accurately enter and maintain all payroll-related data for new hires, including federal, state, and local tax information, withholding allowances, and direct deposit details.
  • Configure time and attendance settings, including pay class assignment, manager assignment, meal break configuration, and time-off policy enrollment.
  • Review and approve employee data transactions such as tax form updates, direct deposit changes, and address changes.
  • Set up ADP access/ security permissions for new employees and HR team members
  • Conduct routine audits of payroll and employee data to ensure accuracy, compliance, and data integrity.i.e. SUI
  • Support HR and payroll system migrations, including data transfer, validation, and testing activities.
  • Participate in cross-functional meetings related to system enhancements and implementations.
  • Update and maintain onboarding documentation to reflect system or process changes.
Onboarding Coordination
  • Provide staffing support to include new hire letter generation, new hire assistance with onboarding and Start date readiness, quality review of applications, drug test ordering/ results tracking, background investigations, other pre-employment screenings, and scheduling of New Employee Orientation, Dining Room, and Social Justice Day.
  • Assist with issues during the onboarding, drug test, and background verification processes. Review drug test results and background checks for adverse results, send adverse notices, taking actions to resolve and/or escalate to an employee relations team member as needed. Ensuring all new hire documents, vaccinations, and credentials are collected in accordance with the job description.
  • Coordinator of ADP Onboarding Portal, ensuring the system is operable and related upgrades run smoothly. Participate in daily interactions with candidates via email, phone, and text to support and manage the needs through the onboarding process. Coordinate employee job description acknowledgment and DC Wage Form compliance.
  • Facilitate weekly dashboards/ MS List App onboarding reports on candidate state of readiness, new hires, terminations, and other staff changes.
  • Set up and process new hire data for all staff and employees, status changes in HRIS ADP, as well as establish Kwiktag personnel file. Complete Payroll Action Notices in Kwiktag for all pay transactions, allocation changes, and payroll actionable items. Ensuring data is entered timely and accurately.
  • Communicate with new hires and rehires post-offer/pre-start to begin the acculturation process toward excellent staff morale. Troubleshoot and resolve any matters that would delay start dates and communicate any concerns with new hires that pose red flags or concerns. Ensuring employees are well-informed in preparation for meeting with their manager on the first day.
  • Perform continuous quality management on a variety of issues that may extend beyond the reach of traditional HR, requiring the ability to network cross-functionally and leverage relationships to support the new hire process. Prepares onboarding details, employee badges, and support, including ensuring new hires have been added to Citrix to ensure onboarding reimbursements can be issued in a timely manner.
Human Resources Administration
  • Provides administrative support to the EVP, VPs, and team members as directed. Sends out HR communications, notices, and mailings to the workforce as deemed appropriate. Keeps forms current and revises or creates as needed. Assist with ensuring HR shared files are organized.
  • Performs routine audits to ensure ADP data is accurate. Run ADP reports as needed for team members. Maintains the new hire report for the Affirmative Action Plan.
  • Ensures Disability Self-identification notices are filed accordingly and distributed to the benefits team member, so each disabled employee has the opportunity to request reasonable accommodations.
  • Responsible for annual merit increase pay data upload. Ensuring that import files are submitted accurately and timely. Updating annual ADP data such as new job titles, job codes, leveling, and grades are accurate and current.
  • Assist with staff morale events, annual picnic and annual staff meeting planning to include creating flyers, purchasing supplies, coordinating guest lists and mailings, creating awards/e-badges, logistics and overall support for event planning and management.
  • Devise, revise, and edit policies related to scope of work to include, but not limited to, onboarding and internal procedures.
  • Reconcile and complete visa, check requests, petty cash, and other finance forms for the HR Department using Citrix.
  • Assist with ad hoc Human Resources projects
Knowledge, Skills, & Abilities:

Physical Demands: Must be able to lift up to 30 pounds. Must be able to travel off-site using his or her own transportation methods. Requires looking at a computer screen for several hours a day.
