Job Summary
The Alumni Affairs Specialist position for Alumni affairs is primarily responsible for the maintenance and update of alumni, friends, and parent data within the Constituent Relations Management (CRM) database. This position will also work under the guidance of the Alumni Membership Coordinator and the Director of Alumni for implementing sound data integrity processes that benefit the Office of Alumni Affairs, the Office of Development and the University as a whole.
Duties and Responsibilities:
• Work in conjunction with the Membership Coordinator to accurately maintain the database of alumni and friends on computer system.
• Add new alumni, friends, and parents to the CRM from information obtained from Troy University or individuals and through other sources of research as required.
• Input biographic, address, and academic information obtained from Troy University or individuals and through other sources of research as required.
• Maintain appropriate activity, interests, and chapter coding for alumni and friends on the CRM database.
• Update all address returns from all bulk mailing including Troy University Magazine mail returns through data entry.
• Input deceased information for alumni and friends through data entry
• Maintain filing system for data entry information files.
• Assist alumni office with answering phone calls and greeting visitors.
• Assist Coordinator of Membership with all membership drive initiatives, fundraisers, University and chapter events.
• Serve as an exemplary TROY University advocate in the community, with local leaders, alumni organizations, business and corporate partners, and other leaders and key constituents.
• Be active and involved in the advancement profession and faithfully represent TROY University in a collegiate and professional manner.

Additional duties performed as or when needed to assist alumni office as a whole:
• Responsible for mailing out condolence cards to the deceased alumni and friends.
• Assists with daily/weekly deposits of all incoming membership money and scholarship donations.
• Assist all in-office communications to alumni, including: stuffing, sorting, and coordination standard (bulk) mail-outs and emails
• Create and print specified lists (from queries) for the Office of Alumni Affairs, national and local alumni chapters as well as other departments of the University upon request.
• Co-coordinate monthly renewal bulk list pulls and mass mailings/emailing.
• Assists with membership card printing/mailouts for new/renewed members.
• Assist with all social media accounts.
Minimum Qualifications
1. High school diploma or equivalent
2. Minimum of two years of clerical office work experience with increasing responsibility
Preferred Qualifications
1. Experience and knowledge of Microsoft Office products to include Microsoft Word, Excel and Outlook
2. Experience with Raiser's Edge software
