DKK is looking for a Receptionist who is interested in a unique opportunity to work within an established firm (20+ years). We need an individual to serve as a key point of contact for our engineering and construction firm. This position will be responsible for managing incoming calls and communications, supporting day-to-day administrative functions, coordinating with clients and subconsultants, assisting with Requests for Proposals (RFPs), and ensuring timely follow-up on outstanding items. In short, DKK is not looking for an employee, we are looking for a team member ready to make an impact!
 
Job Requirements:
  • Greet guests and clients when they come in. 
  • Answer and manage all incoming phone calls in a professional and courteous manner.
  • Direct calls and messages to the appropriate team members.
  • Serve as a primary point of contact for clients, prospective clients, vendors, subconsultants, and other external contacts.
  • Make outbound calls to prospective clients and project leads to gather information, qualify opportunities, and follow up on potential projects.
  • Maintain accurate records of calls, contacts, leads, and follow-up activities.
  • Respond to general emails and communications as needed.
  • Assist with data entry, document preparation, scheduling, and tracking of project-related information.
  • Perform general administrative and clerical duties to support the engineering and project management teams.
  • Help maintain company databases, contact lists, and project tracking systems.
  • Assist with preparing and distributing Requests for Proposals (RFPs) to subconsultants.
  • Identify and contact appropriate subconsultants for project-specific needs.
  • Track RFP responses and follow up with vendors who have not responded.
  • Compile proposals and pricing received from subconsultants for review by project management.
  • Maintain an organized RFP tracking system and ensure deadlines are met.
  • Help ensure commitments and deadlines are not overlooked.
  • Maintain consistent communication until outstanding items are resolved.
  • Maintain accurate data entry and reporting within company systems.
  • Permitting experience is a plus.

Required Qualifications:
  • 2+ years of administrative, receptionist, project coordination, or office support experience.
  • Prior experience working for an engineering, construction, architecture, surveying, or similar professional services company is required.
  • Professional and confident telephone manner.
  • Experience preparing or coordinating RFPs.
  • Strong follow-up skills and ability to take initiative without constant supervision.
  • Spanish is a plus 
 
Compensation: $18-20/hr. (performance bonuses available) Salary is based upon Skill Level and Impact on existing projects. Relocation fees available upon request.
