Position Overview: The Proposal Coordinator will assist the Estimating department with managing bids for all projects company-wide. This role involves organizing and distributing proposal documents, tracking deadlines, and maintaining accurate records. The Proposal Coordinator acts as the main contact for proposal-related inquiries and ensures that all deliverables are completed on time and adhere to formatting and content standards.

This role may report out of our Heber, Provo, or Draper locations following a 6 month training period in Heber. 1-2 days per week will be required in Heber following the training period. 

What You'll Do

Key Responsibilities:

  • Proposal Management
    • Receive, review, and analyze RFPs, RFQs, and RFIs to determine proposal requirements and deadlines.
    • Perform high-level reviews to interpret scope of work, proposal requirements, and associated deliverables.
    • Distribute RFP documents to estimating and executive teams, including details of the scope, deadlines, and estimated construction timelines.
    • Track bid deliverables and ensure all proposals are compliant with client requirements.
    • Develop and maintain proposal schedules, ensuring timely completion.
    • Serve as the main point of contact for proposal-related inquiries and communications with the client.
  • Document Management
    • Download and organize RFPs on company servers.
    • Follow internal archiving procedures for all proposal materials.
    • Store and organize proposal templates and relevant RFP materials.
    • Develop initial deliverable documents using project templates.
  • Communication and Coordination
    • Monitor estimating email for new RFPs and updates.
    • Update calendar invites to track pre-bid and proposal due dates.
    • Track RFP information in Salesforce, updating project status during weekly estimating meetings.
  • Data Management and Analysis
    • Maintain a Salesforce database of submitted proposals, tracking wins and losses for analysis.
  • Proposal Writing
    • Draft and edit narrative content for proposals, including scope-of-work descriptions, technical/management approach summaries, and executive summaries, ensuring language stays consistent with the estimating team's basis of estimate.
    • Edit and unify content submitted by subject-matter experts (estimators, project managers, safety, and QA/QC) into clear, client-ready, persuasive language reflecting the company's win strategy.
    • Maintain and update a library of boilerplate content, resumes, and past-project descriptions for reuse across proposals.
    • Collaborate with estimating, business development, and leadership to develop win themes and proof points reflected in proposal text.

    Qualifications:

    • Bachelor's degree in Marketing, Communications, Journalism, English, or a related field preferred, with demonstrated proposal or technical writing experience.
    • Strong project management and organizational skills, with the ability to manage multiple projects simultaneously.
    • Excellent written and verbal communication skills, with a keen attention to detail.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and proposal management software.
    • Proficiency in Microsoft Projects a plus.    
    • Ability to work under pressure and meet tight deadlines.
    • Knowledge of construction processes, terminology, and industry standards is highly desirable, not required.
    • Flexibility to work extended hours when necessary to meet proposal deadline
