Job Description: The Technical Proposal Writer & Marketing manager owns the end-to-end proposal process - from opportunity identification through award - crafting compelling, compliant, and technically precise responses to Requests for Proposals (RFPs) and Requests for Qualifications (RFQs) The marketing management function supports business development objectives, brand positioning, and client engagement.
Key Responsibilities:
Proposal Strategy and Leadership
  • Own the full proposal lifecycle from RFP receipt through submission, including kickoff, scheduling, content development, review, production, and delivery
    • Serve as the single point of accountability for all proposal activity, coordinating cross-functional contributors including estimating, project management, operations, and executive leadership
    • Analyze RFP/RFQ requirements to develop win strategies, competitive positioning, and tailored value propositions for each pursuit
    • Maintain a master pursuit calendar and ensure zero missed deadlines across all active proposals

Technical Writing & Content Development
  • Write, edit, and produce all proposal content including executive summaries, technical narratives, project experience write-ups, staffing plans, and management approaches
  • Translate complex mechanical systems, HVAC, plumbing, piping, and process work into clear, compelling language accessible to both technical and non-technical evaluators
  • Develop and continuously improve a proposal content library (boilerplate narratives, project profiles, resumes, org charts, graphics) to accelerate future submissions
  • Ensure all submissions are fully compliant with RFP instructions, formatting requirements, and page limitations

Proposal Production & Quality Control
  • Design and format visually polished, brand-consistent proposal documents using Microsoft Word, InDesign, or equivalent tools
  • Conduct rigorous compliance reviews, red-team reviews, and editorial quality checks prior to submission
  • Manage electronic and hard-copy submission processes including upload portals and submission confirmation
  • Track proposal outcomes, maintain win/loss data, and conduct debrief interviews to drive continuous improvement

Marketing Management:
  • Develop and execute an annual marketing plan aligned with the company's business development and growth objectives
  • Manage and maintain the company website, LinkedIn presence, and other digital platforms to reflect current job openings, recruiting strategies, and overall brand messaging
  • Produce marketing collateral including capabilities statements, project sheets, trade show materials, award submissions, and case studies
  • Coordinate participation in industry associations, trade shows, and community engagement events (AGC, SMACNA, ASHRAE, etc.)
  • Support business development efforts through targeted outreach campaigns, client appreciation events, and thought leadership content
  • Manage photography and videography of project milestones to build the company's visual portfolio

Position Requirements
Required Education and Experience:
    • Bachelor's degree in marketing, communication, journalism, or related-field
    • 5+ years of proposal writing experience with a demonstrated record of winning RFP's in construction, engineering, or related-industry
    • Deep familiarity with the commercial mechanical construction industry - HVAC, plumbing, and process piping, strongly preferred
    • Expert command of proposal structure and compliance matrices
    • Exceptional writing, editing, and proofreading skills with the ability to produce polished content under tight deadlines
    • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and Adobe Creative Suite (InDesign, Acrobat) or equivalent design tools
    • Strong project management skills with the ability to manage multiple concurrent proposals at various stages
