We are seeking a highly organized and detail-oriented Hybrid Paralegal/Legal Secretary to support a busy Insurance Defense practice focused primarily on Construction Defect litigation. This newly created position will provide both paralegal and legal secretarial support to a growing team of attorneys handling a high-volume caseload. The role is approximately 50% paralegal and 50% legal secretary responsibilities, with the opportunity to evolve into a dedicated paralegal position as the practice continues to expand.

Responsibilities
  • Draft discovery responses, including preparing objections and coordinating substantive responses with attorneys and clients
  • Review case files proactively to identify documents and information needed to support litigation strategy and expert review
  • Coordinate collection, organization, and production of project documentation, including construction records, contracts, correspondence, photographs, and other relevant materials
  • Prepare document productions and manage large volumes of electronically stored information
  • Organize and prepare materials for expert witnesses, ensuring complete and accurate documentation is provided for review
  • Create and maintain case management templates, discovery shells, and litigation support materials
  • Assist attorneys with pleadings, motions, discovery, and trial preparation
  • Maintain and update case files within iManage and other firm systems
  • Communicate with clients, experts, insurance carriers, and opposing counsel regarding case-related matters
  • Manage attorney calendars, including court deadlines, hearings, depositions, mediations, and other litigation-related events
  • Coordinate scheduling and correspondence for assigned attorneys
  • Draft, revise, proofread, and file legal documents
  • Prepare and process court filings in state and federal courts
  • Monitor litigation deadlines and ensure compliance with court rules and scheduling orders
  • Handle client communications and routine case correspondence
  • Maintain electronic and physical case files
  • Provide overflow legal secretarial support to the litigation team as needed

Experience
  • Minimum 3 years previous experience working as a Paralegal/Legal Secretary on construction defect cases is highly preferred
  • Excellent organizational skills with the ability to manage competing priorities in a fast-paced environment
  • Strong understanding of civil litigation procedures, discovery processes, and court rules
  • Ability to work independently while collaborating effectively with attorneys, clients, experts, and support staff
  • Proficiency with iManage or comparable document management systems preferred
  • Experience preparing discovery responses and coordinating document productions
  • Strong writing and research skills
  • Ability to work under pressure and meet deadlines
  • Proficiency in using legal research tools, such as LexisNexis and Westlaw
  • Proficiency in using Microsoft Office and other relevant software
  • Have a masterful understanding of the litigation flow, as well as demonstrate the appropriate urgency and initiative in performing tasks that advance the cases toward resolution
  • Previous experience billing time and comfortable with billing 50-70 hours/month
