Addison Group is hiring a Construction Administrative Assistant for our client, a well-established organization in the real estate and construction industry. This position will support a senior construction leader and a team of construction professionals in a busy, collaborative environment.

Job Description

Our client is looking for a highly organized Construction Administrative Assistant to provide administrative, project, and contract support to a construction and development team. This position will play an important role in keeping contracts, purchase orders, change orders, approvals, and project documentation organized and moving forward.

The ideal candidate is proactive, confident, detail-oriented, and comfortable following up with busy managers, contractors, and vendors. This person should be comfortable taking initiative, communicating frequently, and managing multiple priorities without needing constant direction.

Key Responsibilities

  • Prepare, distribute, and track construction contracts, purchase orders, and change orders through final approval and execution.
  • Coordinate required documentation from contractors and consultants, including certificates of insurance and W-9 forms.
  • Follow up with internal stakeholders to obtain outstanding approvals, signatures, and documentation.
  • Maintain organized electronic files, project records, logs, and contract documentation.
  • Assist Construction Managers with contract administration and project-related documentation.
  • Maintain and organize internal construction drawing and blueprint libraries.
  • Prepare bid comparison spreadsheets and summarize information for project managers.
  • Assist with tenant reimbursement authorizations, check requests, invoice documentation, and expense-related requests.
  • Help track project schedules, deadlines, and outstanding action items.
  • Coordinate meetings and provide general administrative support to the construction and development team.
  • Create PowerPoint presentations and other materials for internal meetings and presentations.
  • Communicate with vendors, contractors, consultants, and internal teams by phone and email.
  • Assist with Bluebeam and other software-related administrative needs.
  • Identify outstanding items and proactively follow up with team members to keep projects and approvals moving.
  • Take on additional administrative and project support responsibilities as needed.

Qualifications

  • 3–5+ years of administrative, project coordination, or contract support experience within the construction industry.
  • Experience supporting a general contractor, subcontractor, construction company, developer, or related organization strongly preferred.
  • Experience working with construction contracts, purchase orders, change orders, or project documentation.
  • Strong Microsoft Office skills, particularly Excel, Word, Outlook, and PowerPoint.
  • Adobe experience required.
  • Bluebeam experience highly preferred; training can be provided.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and organizational abilities.
  • Confident communicator who is comfortable consistently following up with managers and stakeholders.
  • Ability to manage several priorities and deadlines simultaneously.
  • Self-directed and comfortable working independently with limited supervision.
  • Professional, dependable, and responsive.
  • Associate’s or Bachelor’s degree preferred, or equivalent relevant experience.
