Job Description

ProSidian Seeks a Meeting/Conference Support Specialist (SCA Code: N/A) in Rockville/Bethesda/Washington, DC area to support an engagement for a medical research agency in the Department of Health and Human Services whose primary purpose is to make important discoveries that improve health and save lives, increase Americans' life expectancies by providing medical information to organizations across the nation and abroad, and promote research to enhance health, reduce illness, and reduce disability. 

The ProSidian Engagement Team Members work to provide Meeting/Conference support for approximately forty-one (41) meetings and conferences throughout the year. The Meetings/Conferences will provide research and information regarding Neurological Disorders and Strokes to participants and must be both effective and engaging. Candidates are expected to provide support including, but not limited to, checking in registrants and streamlining the check-in process, answer general event questions, assist speakers and participants throughout the duration of each meeting/conference, and ensure the overall fluidity of the event.

 This is a Engagement Team addition to the project.  Meeting/Conference Support Specialist Candidates shall work to support requirements for Program Support and primary role is to lead and execute ProSidian's effort in assisting the National Institutes of Health's mission by:

  • Providing Meeting/Conference Support services for approximately 41 events per year throughout the 5-year contract period
  • Assisting participants and sponsored participants in arriving at the event location, checking in for the event, finding locations for lunch and/or breaks, and return to the airport or hotel
  • Providing on-site support throughout the duration of each conference, which range between 1 and 3 days in length
  • Providing any support required by the NIH to promote the effectiveness of the Meetings/Conferences

 Professionals in this role should be adept and experienced in assisting with conferences, meetings, or other similar events including, but not limited to, assisting with check-in and registration desks, handing out materials to up to 500 participants, answering logistical questions regarding the event space, surrounding area, restroom location, and other potential questions, assisting with setup of the event space, and assisting with take-down of the event space at the close of the event. Candidates will be expected to conduct themselves in a professional manner, assist fellow ProSidian team members throughout each event, and remain on-site, when required, throughout the duration of the meeting/conference.

Qualifications

The Meeting/Conference Support Specialist shall have consecutive employment in a position with comparable responsibilities within the past two (2) years, Must be able to use a computer to communicate via email; and proficient in Microsoft Office Products (Word/Excel/Power point) and related tools and technology required for the position.  Work products shall be thorough, accurate, appropriately documented, and comply with established criteria. The candidate shall ensure that duties are performed in a competent and professional manner that meets milestones/delivery schedules as outlined.

  • At least 2 years' experience required. Minimum Education/Experience: Bachelor's degree in event planning, event management, communication, or other related field preferred.
  • Demonstrated success managing  medium- to large-scale face-to-face meetings, conferences, and other events
  • Proven project management skills, and ability to work with diverse and high skilled personnel in fast-paced team environment
  • Experience leading or participating in a project of similar bandwidth
  • Excellent oral and written communication skills in English
  • Intermediate to advanced skills in Microsoft Office applications, primarily Word, Excel, and PowerPoint
  • Highly collaborative team player with willingness to pitch in as needed and ability to work on tight deadlines at times
  • Work products shall be thorough, accurate, appropriately documented, and comply with established criteria. The candidate shall ensure that duties are performed in a competent and professional manner that meets milestones/delivery schedules as outlined.

TRAVEL:  Travel as coordinated with the technical point of contact and approved in writing by the Contracting Officer in advance, is allowed, in accordance with Federal Travel Regulations.

LOCATION:  Work shall be conducted at the Rockville/Bethesda/Washington, DC area
