The Chaplaincy Services Assistant is administratively responsible to the Chaplain III and performs entry level work providing and/or assisting religious education and/or ongoing programs for clients. Duties may include planning and teaching classes, scheduling and coordinating religious education programs and assisting in regular and occasional worship services. Depending upon qualifications, performs moderate level of ministerial clergy work under general supervision, including hospital visitation and occasional unscheduled duties. This position acts as the religious program manager ensuring that all persons served are afforded the opportunity to practice the faith of their choice and coordinates the various activities of those faith groups. Schedule: 8:00 AM to 5:00 PM. Other duties may be required which are reasonably related to the essential or marginal functions of the position. This position will require 50% coverage for another department with administrative assistance as needed. This position is required to drive a state-owned vehicle.
Essential Job Functions (EJFs):
  • Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
  • Assist with or supervise the instruction and monitoring of individuals served in Chaplaincy Services programming: Chapel services, special services, Chaplaincy outings, music/drama, devotions, use of religious education materials.
  • Coordinate volunteers, treatment teams and individuals regarding consumer requests for the off-campus church program. Consults and works with the Community Relations department to recruit, train and assist volunteers in both the on-campus Chaplaincy program and off-campus church program.
  • Communications in writing or by phone, e-mail with staff, clients, volunteers and visitors. Oral - daily communications with individuals served, frequent communication with families, guardians, advocates, other Interdisciplinary Team members, supervisor, co-workers, and other support personnel. In consultation with the Chaplain, coordinates worship bulletins on a weekly basis. Written -The Chaplaincy Assistant must be able to effectively use the computer with ease including basic software such as Microsoft applications as well as copiers, fax machines, telephones, pagers, calculators and printers. Skype or IRIS may be included.
  • Provides for client's special requests in consultation with the Chaplain, such as those who wish to prepare special presentations in Chapel, in order to meet the religious and spiritual needs of the individuals served. Transport of additional equipment may be required.
  • Provide occasional hospital visitation in order to respond to the need for pastoral care.
  • Conduct self in conformance with established and accepted practices of good conduct.
  • Punctual attendance and regularity with flexibility in schedule for special programming and department needs as requested by the Chaplain.
  • Observe and obey all safety rules applicable to all aspects of the facility and department operations to minimize injury.

Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge, Skills and Abilities (KSAs):
  • Knowledge of religious beliefs in various denominational and faith groups. Ability to exercise their ministry without influencing others to change their religious preference or faiths.
  • Ability to balance administrative duties with direct ministry through individual or group activities, which include religious services, spiritual activities, and be able to flexibly adjust a schedule in order to accommodate change.
  • Experience in faith-group related work.
  • Computer literate in Microsoft applications, excellent written and oral communication skills. Highly organized, dependable, and creative; experience in working in a religious or institutional setting.
  • Willingness to work partial weekends and occasional evenings.

Registrations, Licensure Requirements or Certifications:
Valid Texas driver's license or ability to obtain it no later than 90 days after hire date is required. Applicants with an out-of-state driver's license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy.
Initial Screening Criteria:
Course work in religion in an accredited four-year college is preferred.
Commensurate experience in congregational or pastoral care is preferred. Experience may be substituted for education on a year for year basis.
One-year experience in working with special populations in a ministerial environment is highly preferred.
Experience in the operation of computers
Experience operating audio/visual equipment is preferred.
Experience in office management, communication.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE).
Males between the ages of 18 - 25 must be registered with the Selective Service.
All State Supported Living Center Employees are subject to Random Drug Testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
