Job description

We are seeking a highly organized and detail-oriented Accounting & Administrative Coordinator to join our team. This role combines selected accounting functions with administrative support and travel coordination. The successful candidate will be responsible for accounts receivable, collections, payroll support, travel coordination, insurance administration, and a variety of administrative functions that help keep the business running efficiently.

The ideal candidate is dependable, computer savvy, and able to manage multiple priorities while maintaining a high level of accuracy and professionalism.

Key Responsibilities

  • Perform selected accounts receivable and accounts payable functions.
  • Assist with collections and customer account inquiries.
  • Process employee expense reports using Zoho Expense.
  • Provide payroll support by collecting and organizing payroll information.
  • Maintain customer sales tax exemption certificates using Avalara.
  • Assist with insurance administration, including processing claims and providing certificates of insurance.
  • Coordinate and book employee travel arrangements.
  • Provide excellent customer service by responding to customer inquiries and resolving routine account-related questions.
  • Maintain accurate records and enter information into the company's ERP and business software systems.
  • Perform a variety of administrative duties to support the accounting and management teams.
  • Assist with additional projects and responsibilities as assigned.

Qualifications

  • Accounting experience is required.
  • Experience with accounts receivable, accounts payable, and collections.
  • Must be computer savvy and able to quickly learn and work within company software systems.
  • Experience working with ERP or other business management software.
  • Experience with Avalara or other sales tax management software is preferred.
  • Strong proficiency in Microsoft Office, including Excel, Word, and Outlook.
  • Excellent customer service and communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Professional, dependable, and able to work independently.
  • Team player with a positive attitude and strong interpersonal skills.
