Job description

About the role
The Executive Assistant role sits within the Compliance team to provide executive administrative support to the SVP - Head of Compliance, Americas & APAC, as well as team support and coordination, and project support. This role requires a highly organized, proactive professional who anticipates needs, manages competing priorities, maintains executive organization, and helps ensure the smooth execution of both executive and team priorities. Knowledge of compliance or regulatory experience a plus but not required.
Annual compensation: $80K - $112K USD
What you'll be doing
  • Manage a complex executive calendar, including scheduling regular meetings, communicating with other company EAs, and proactively prioritizing meetings and adjusting schedule in response to changing business needs using MS Teams
  • Create, maintain and update presentations in MS PowerPoint with precision and professional visual appeal.
  • Capture meeting minutes for executive and steering committee meetings and track follow-up action items.
  • Manage and assist with travel arrangements and create travel itineraries, responding quickly and effectively when plans change.
  • Serve as delegate for approvals when the Head of Compliance is unavailable, including expense reports, trip reports, and other delegated actions.
  • Serve as a trusted partner to the Head of Compliance by proactively tracking high-priority initiatives, monitoring open action items, following up on outstanding commitments, and helping ensure critical work remains on schedule.
  • Support both the annual training campaign and ongoing new hire training initiatives by: serving as an administrator to the tool, preparing training reports, assisting with system testing, sending reminder emails, and escalating past due situations.
  • Monitor Compliance inbox and route inquiries appropriately or respond directly where appropriate.
  • Manage Compliance calendar(s) relating to content, training, and projects to ensure key activities remain on schedule.
  • Send follow ups and reminders to the team to collect news articles, monthly Compliance Champion nominations, and manager communications. Manage Champion list and contact information.
  • Serve as back-up administrator for Diligent tool and other Compliance tools, including gifts and hospitality, and third-party due diligence.
  • Maintain Compliance team folders and provide project support.
  • Lead planning and coordination of Compliance team events.

What you have
  • Bachelor's degree or equivalent work experience
  • Legally eligible to work in the United States.
  • Comfortable balancing executive support (primary responsibility) with Compliance team operational support
  • Strong knowledge and experience of MS Office, particularly PowerPoint, Word, Excel, and MS Teams
  • Comfortable using AI tools such as MS Copilot and able to learn techniques to be more efficient through AI
  • Strong technical skills; easily able to adapt to new tools.
  • Excellent attention to detail.
  • Strong self-organization and time management skills.
  • Proactive mindset; takes initiative to ensure that not only requested tasks are completed, but that team goals are achieved.
  • Demonstrated ability to anticipate executive needs, work independently, and exercise sound judgement with minimal direction
