Job description

Front Desk Receptionist

If you like a job where no two days look the same — and where the work you do actually shows up in how people feel about where they live — read on.

Elm Grove Companies is looking for a Front Desk Receptionist to be the welcoming first point of contact at our office. You'll greet residents, prospects, and vendors, keep the front desk running smoothly, and lend a hand to two teams: Property Management and Marketing. It's a role with real variety, and a great seat for anyone who wants to learn the real estate business from the inside.

About Elm Grove

We're a full-service real estate firm operating throughout New England, with offices across New Hampshire and Central Massachusetts. Our work spans development, construction, renovation, acquisitions, property management, and asset management — and we manage a growing portfolio of apartment communities across the region.

People are at the center of how we operate. We care about the experience of our residents, our clients, and our team, and we're proud of the sense of community that comes with that.

Our Culture & Values

At Elm Grove Companies, our values aren't just words — they're how we work every day. We lead with Respect, collaborate through Synergy, take Accountability for our actions, show up with Dependability, and embrace a Growth Mindset in everything we do.

We expect every team member to live these values daily — in how they communicate, solve problems, and support one another. We offer freedom to think, create, and contribute without micromanagement, and we hold each other to a high standard of ownership and integrity.

If these values align with how you work and who you are, we want to talk with you.

What You'll Do

Run the front desk.

  • Greet visitors, residents, and vendors and make them feel taken care of
  • Answer and route a multi-line phone system; take clear messages and follow up
  • Manage the general inbox, mail, and package deliveries
  • Maintain visitor logs, key control records, and access card issuance
  • Keep the lobby and front desk sharp, and office supplies stocked within budget

Support the Property Management team.

  • Log maintenance requests, dispatch work orders, and follow through to completion
  • Be a first stop for resident questions about leases, amenities, and building policies
  • Accept and record rent payments, deposits, and application fees
  • Help with lease prep, renewals, and keeping files accurate and current
  • Pitch in on resident events and appreciation initiatives

Help the Marketing team.

  • Keep property listings fresh on Zillow, Apartments.com, LoopNet, CoStar, and our site
  • Log incoming leads in the CRM and route them to the leasing team
  • Build flyers, brochures, signage, and email campaigns in Canva
  • Draft social content that shows off our properties, events, and team
  • Monitor online reviews and help craft responses
What You Bring
  • One to two years in a receptionist, front desk, customer service, or administrative role
  • A warm, professional presence — in person, on the phone, and in writing
  • Comfort with Microsoft Office and a willingness to learn new systems quickly
  • The ability to juggle competing requests without losing the thread or your cool
  • Good judgment with confidential resident, financial, and personnel information
  • High school diploma or equivalent
Bonus Points For
  • Experience in property management, real estate, hospitality, or leasing
  • Familiarity with Yardi, AppFolio, or Entrata
  • Hands-on experience with Canva, social scheduling tools, or email marketing platforms
  • Bilingual [English/Spanish]
  • A degree in business, marketing, communications, or something related
