Pacific Retirement Services (PRS) is seeking an organized, resourceful, and highly professional Administrative Assistant to support our Executive Leadership Team and administrative operations across PRS, its affiliates, and managed communities. This is an onsite position at the PRS Central Office in Medford, Oregon.

What Youโ€™ll Do

Youโ€™ll help keep executive and administrative operations running smoothly by coordinating calendars, meetings, travel, projects, office operations, and communications while handling sensitive information with professionalism and discretion.

You will:

  • Coordinate executive calendars, meetings, appointments, and travel.

  • Prepare agendas, presentations, action logs, and meeting follow-up.

  • Assist with expense reports, records, files, and confidential documents.

  • Support administrative projects and presentations directed by the Executive Partner.

  • Partner with administrative professionals and leaders across PRS to ensure seamless coordination.

  • Welcome and assist employees, visitors, vendors, and other guests.

  • Coordinate office supplies, equipment, vendors, repairs, and general building operations.

  • Support policy and procedure updates.

  • Represent Administration on the Safety Committee.

  • Assist with leadership meetings, organizational events, and special projects.

  • Step in wherever needed to support the team and organization.

About You

You are organized, resourceful, and professional, with the ability to anticipate needs, manage competing priorities, and build positive relationships across an organization. You bring tact, sound judgment, discretion, attention to detail, and a willingness to jump in and help.

You will be a strong candidate if you have:

  • At least three years of experience in business administration, project coordination, executive support, or a related field.

  • Strong organizational, scheduling, and project coordination skills.

  • Excellent written, verbal, telephone, and customer service skills.

  • Proficiency with Microsoft Office and electronic communication tools.

  • Experience handling confidential or sensitive information.

  • The ability to adapt quickly, solve problems, and follow assignments through to completion.

  • An associate degree in business administration or a related field is preferred.
