Job description

This position is responsible for administering and analyzing benefit plans, policies and programs (including 401(k), health and welfare, leaves of absence and voluntary benefits), creating content for employee benefits communications, and serving as the primary resource for both employees and managers on benefit matters. As a member of the Human Resources (HR) team, this position interacts with corporate employees in HR (HRIS, Payroll, HR Business Partners, etc.), Safety, Risk, Accounting, and various leaders, upholding our Mission, Vision and Values, and adeptly handling confidential and sensitive information.

  • Benefits Administration: Coordinate benefit processes including tracking of employee eligibility and providing enrollment material. Handle all processing of enrollments and changes of benefits to include the tracking of deductions through the payroll processing software including third party benefits and COBRA administrators. Terminate employee benefit coverage as needed and transmit necessary information to external vendor who handles COBRA administration. Reconcile and pay monthly benefits invoices. Engage in annual enrollment activities and processes. Administers all aspects of leave of absence and workers’ compensation programs according to company policy and applicable regulations. Administer bi-weekly 401(k) contributions/match and process funding. Coordinate any CSM wellness initiatives, organize wellness focused events and create content for communications on program details.
  • HR Policy and Compliance: Conduct regular ongoing audits of benefits plans and processes to ensure accuracy and compliance. Manage annual 401(k) plan audit and ensure that company is compliant with all federal and state laws including ERISA, HIPAA, FMLA, COBRA, ADA, ACA, etc. Stay current with changing regulatory and legal requirements (federal, state, local) and recommend changes to keep CSM in compliance. Understand the impact that benefits plans and compliance have amongst other HR functions and priorities. Document and maintain administrative procedures for assigned benefits processes. Ensure that benefits records are maintained in accordance with legal requirements and company policies and procedures.
  • Vendor Management: Develop and maintain external customer relationships through effective, appropriate and professional communication and by responding to requests in a timely and thorough manner. Serve as liaison between employees, managers, and peers and benefit providers, platforms, brokers, etc. as necessary.
  • Employee Experience: Develop and maintain internal relationships through effective, appropriate and professional communication, by responding to requests in a timely and professional manner, and by keeping department members informed of problems or unusual matters of significance so prompt corrective action can be taken. Communicate benefit plans, policies and procedures to increase employee awareness, engagement and understanding. Provide content for leader and user education and training and serve as a resource for property leaders. Maintain general knowledge of CSM's Human Resources policies, practices and programs to service as a primary or back-up resource to internal customers.
  • Technology and Process: Identify and provide solutions for continuous process improvements/automation. Leverage technology to simplify internal processes, minimize paperwork and limit delays in processing. Ensure data is accurate and that system compliance with data security and privacy requirements is met.

Education:  Bachelor's degree, and 2-4 years of experience, or equivalent combination of training and experience. Additional education in benefits administration preferred. CEBS certification or equivalent desired.

Experience/Knowledge/Skills/Abilities: 

    • Minimum three years’ experience in a similar position involving benefits administration and accounting procedures.
    • Working knowledge of ERISA laws, HIPAA, ACA, COBRA, FMLA, and section 125 plans.
    • Proven experience in working with HRIS system (UKG preferred.
    • Strong proficiency in Microsoft Office (Word, Excel, and PowerPoint), and other related software applications.
    • Strong organizational skills, attention to detail, and analytical skills.
    • Excellent written and verbal communications skills with an ability to interface with all levels of the organization and influence business leaders.
    • Demonstrated ability to prioritize required work, project work and incoming requests, and adjust priorities as needed with a sense of urgency and positive, can-do demeanor.
    • Demonstrated ability to provide explanations and education both verbally and in written form.
    • Positive, solution-oriented mind-set.

Rate: $65,000 USD - $90,000 USD per year
