Hillcrest Health & Living is looking for an organized, detail-oriented, and dependable Clinical Support Assistant to join our nursing team at Hillcrest Country Estates Cottages in Papillion, NE.
Hillcrest Country Estates Cottages is part of the Hillcrest Country Estates campus and provides skilled nursing, long-term care, and post-acute support in a warm, home-like environment. Our cottage model allows team members to build strong relationships with residents, guests, families, and coworkers while providing meaningful, personalized care.
At Hillcrest, our mission is simple: Inspiring people to live their best lives. As the Clinical Support Assistant, you will play an important role in keeping nursing department operations organized, efficient, and well-supported.
What You'll Do
As the Clinical Support Assistant, you will support the day-to-day clerical and operational needs of the nursing department while assisting the Director of Clinical Services and nursing leadership.
You will:
  • Complete nursing schedules for Nurses, Medication Aides, and Nurse Techs and present schedules to the Director of Clinical Services for final approval.
  • Help ensure nursing schedules are filled in the event of call-ins and communicate scheduling concerns to the Director of Clinical Services.
  • Track, order, and stock supplies for the supply room and neighborhood supply areas.
  • Develop and maintain PAR levels, rotate stock, and check for expired items while staying within budget expectations.
  • Support daily organization and stocking of office supplies.
  • Help ensure clinic office equipment is operational and ready for use.
  • Verify invoice accuracy and work with vendors to resolve discrepancies prior to invoice processing.
  • Process invoices accurately and timely while updating spend-down reports.
  • Monitor budgeted accounts and communicate when accounts are nearing or exceeding approved amounts.
  • Maintain medical records, including uploading and scanning H&Ps, hospital discharge summaries, and other required documents.
  • Validate ancillary invoices for accuracy before submitting for payment.
  • Ensure physician re-certifications are completed timely and accurately.
  • Complete medical records requests efficiently and within required timelines.
  • Reconcile daily census and communicate census changes to ancillary vendors.
  • Process DME recommendation forms from therapy and coordinate with DME vendors, residents, and families to support timely transitions.
  • Support the nursing team with special projects, follow-up items, and operational needs as assigned.

  • Strong communication skills with nursing leaders, team members, vendors, residents, and families.
  • Ability to work calmly and professionally in a fast-paced environment.
  • Comfort using technology, office systems, clinical documentation systems, and Microsoft Office.

  • A professional, respectful, and service-focused attitude.

Education & Credentials
  • High school diploma or equivalent required.
  • Two years of post-acute and/or long-term care experience preferred.
  • Two years of billing or coding experience preferred.
  • Supply management experience preferred.
  • Scheduling and/or payroll experience preferred.
  • Previous healthcare clerical, clinical support, administrative, or operations experience preferred.
