Job Summary
The Director of Clinic Operations is responsible for the overall operational, clinical support, and patient access functions of all clinic departments. This position oversees daily clinic operations, staffing, workflow efficiencies, regulatory compliance, patient experience initiatives, and performance improvement activities to ensure high-quality, efficient, and patient-centered care. The Director of Clinic Operations collaborates closely with providers, department leaders, and hospital administration to support organizational goals, improve clinic performance, and maintain compliance with federal, state, and accreditation standards. This role provides leadership, supervision, training, and mentorship to both clinical and clerical support staff while promoting a culture of teamwork, accountability, and excellent customer service.
Essential Job Functions
โ€ข Collaborates with Chief Medical Officer on overall operations meeting frequently, developing goals and managing outcomes.
โ€ข Oversees daily operations of all clinic departments to ensure efficient, effective, and patient-centered workflows.
โ€ข Provides leadership and operational oversight for clinical support staff, patient access staff, and clerical personnel.
โ€ข Develops, implements, and maintains clinic policies, procedures, and workflow standards to ensure compliance with organizational, federal, state, and accreditation requirements.
โ€ข Collaborates with providers, department leaders, and hospital administration to improve clinic operations, patient flow, and patient satisfaction.
โ€ข Coordinates staffing levels and workflow efficiencies to meet operational needs and budget expectations.
โ€ข Supervises, mentors, orients, and evaluates clinic staff, including clinical assistants, medical assistants, LPNs, RNs, reception staff, and other support personnel.
โ€ข Assists with recruitment, onboarding, employee coaching, disciplinary actions, performance evaluations, and employee relations issues in collaboration with Human Resources.
โ€ข Approves staff schedules, timecards, and time-off requests while ensuring adequate clinic coverage.
โ€ข Works collaboratively with front office and clinical staff to establish standards for scheduling, patient access, and clinic workflow processes.
โ€ข Participates in performance improvement initiatives and supports quality improvement and cost-reduction efforts.
โ€ข Monitors departmental performance metrics and utilizes data collection and reporting to support operational decision-making and organizational goals.
โ€ข Ensures compliance with mandatory staff training, competency requirements, EHR utilization, and time and attendance systems.
โ€ข Partners with the Chief Quality and Nursing Officer and other leadership staff to address patient quality concerns and support ongoing quality initiatives.
โ€ข Maintains a clean, safe, and professional work environment in accordance with infection prevention and safety standards.
โ€ข Attends required leadership meetings, committee meetings, and organizational programs.
โ€ข Promotes effective teamwork, communication, customer service, and positive employee relations throughout the organization.
Performs other duties as assigned.
Requirements
Minimum Requirements
โ€ข Associate's required or Bachelor's Degree in healthcare administration, nursing, business, or related field required, or able to obtain degree within 2 years of starting position.
โ€ข Master's degree preferred.
โ€ข Minimum of three years of healthcare leadership or clinic operations experience required.
โ€ข Clinical experience preferred.
โ€ข Licensed RN or LPN preferred.
