Position Overview: The Customer Success Administrator will play a vital role in supporting the daily operations of the sales department. This individual will handle administrative tasks, manage documentation, assist with client communications, and ensure the smooth flow of information between the sales team and customers. The ideal candidate will be detail-oriented, organized, and capable of working in a fast-paced environment.
Key Responsibilities:

  1. Sales Support:
    • Assist the sales team with day-to-day administrative tasks, including scheduling appointments, meetings, and site visits.
    • Prepare and maintain sales presentations, reports, and proposals.
    • Help manage and update customer information in the CRM (Customer Relationship Management) system.
    • Coordinate follow-up with potential and current customers to ensure timely responses and customer satisfaction.
  2. Customer Communication:
    • Serve as a primary point of contact for clients, answering inquiries via phone, email, or in person.
    • Handle client communications, relay messages to the sales team, and ensure follow-up on important tasks and deadlines.
    • Schedule appointments and site inspections for roofing projects with customers and sales representatives.
  3. Document Management:
    • Maintain and organize customer files, contracts, and sales agreements.
    • Process sales orders, update project documentation, and ensure compliance with company policies.
    • Assist in managing contracts and agreements, ensuring they are accurate and signed in a timely manner.
    • Prepare and file necessary documents for roofing permits, warranties, and project completion.
  4. Sales Coordination & Reporting:
    • Track sales metrics and assist in the preparation of reports for the sales team and management.
    • Monitor sales leads, quote requests, and follow up on any outstanding issues.
    • Assist in creating weekly and monthly sales forecasts or summaries.
  5. Office Support:
    • Perform general office tasks, including answering phones, greeting visitors, and managing office supplies.
    • Ensure smooth day-to-day office operations, including managing calendars and maintaining filing systems.
    • Help organize company events or meetings, coordinating logistics and materials as necessary.
  6. Other Duties:
    • Support the sales team in administrative tasks related to project management and customer service.
    • Work collaboratively with other departments, such as marketing, accounting, and operations, to ensure seamless sales processes.
    • Stay updated on roofing industry trends and product knowledge to better assist the sales team and customer.

Skills and Qualifications:
● High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
● Proven experience as an administrative assistant or in a similar support role, preferably within sales or construction.
● Strong organizational skills with attention to detail.
● Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and CRM software (experience with roofing-specific tools a plus).
● Excellent written and verbal communication skills.
● Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
● Positive, customer-focused attitude with excellent interpersonal skills.
● Basic knowledge of the roofing industry and construction processes is a plus.
● Ability to work independently as well as part of a team.
● Time management skills with the ability to meet deadlines
Working Conditions:
● Full-time position; typical office hours from 7-4 or 8-5.
● Occasional overtime may be required, especially during busy seasons.
● Office-based with occasional travel for meetings or job-site visits.
