Your Role in the Client Journey

As our Client Operations Specialist, you are the engine of our back-office execution. This is a client-centric role that requires a high degree of accuracy and a "get it right the first time" mentality. You will own the onboarding process, ensuring that every new client relationship is built on a foundation of operational excellence. Your work directly enables our advisors to help clients preserve their lifestyle by ensuring their accounts and products are handled with precision.


Key Responsibilities

  • Execute new account applications with precision via Orion and Fidelity Clearing & Custody Solutions.
  • Review and submit essential AUM documentation, including investment advisory agreements and rollover forms.
  • Facilitate fixed product business (annuities, life insurance) through the Impact Partnership portal, maintaining strict adherence to suitability and carrier standards.
  • Coordinate carrier contracting and submission tracking.
  • Maintain organized client files in Box following the firm's folder structure
  • Follow up with custodians, carriers, and transfer agents to resolve pending items and NIGO (Not In Good Order) issues
  • Update client records in Swivel CRM throughout the onboarding lifecycle
  • Work with the Advising and Planning Team to keep clients apprised of their onboarding status.
  • Ensure all account documentation meets compliance standards per firm policies


Professional Qualifications

  • 2–5 years of experience in a back-office, operations, or client service role within a wealth management firm, RIA, or broker-dealer
  • Hands-on experience with custodial platforms (Fidelity/Orion strongly preferred; Schwab or Pershing acceptable)
  • Familiarity with account opening workflows for investment advisory accounts (individual, joint, IRA, Roth IRA, trust, beneficiary)
  • Experience processing annuity or insurance applications through an IMO/FMO portal
  • Working knowledge of ACAT transfers, direct rollovers, and common NIGO resolution
  • Proficiency with CRM systems (Swivel, Salesforce, or Redtail preferred)
  • Strong organizational skills with the ability to manage multiple onboarding cases simultaneously
  • Excellent written and verbal communication for coordinating with advisors, custodians, and carriers
  • Proficiency in Microsoft Office Suite and comfort navigating cloud-based platforms


Preferred Experience

  • Experience specifically with Orion Advisor Technology
  • Prior experience in a firm serving retirees or pre-retirees with $1M+ investable assets
