Job description

Administrative Assistant I

Location: Colorado Springs, CO 80903

Schedule: Monday–Friday, 7:30 AM – 4:30 PM (40 hours/week)

Assignment Length: 6 months with possible extension

Pay Rate: $19.98 - $23.99 per hour

Position Summary: We are seeking a detail-oriented Administrative Assistant I to provide administrative, clerical, recordkeeping, and accounting support to the Municipal Court team. This position will assist staff with daily office operations, maintain accurate records, provide excellent customer service, and perform a variety of administrative tasks in a fast-paced environment.

Key Responsibilities
  • Administrative & Clerical Support (40%)
  • Provide general administrative and secretarial support to the assigned department and leadership.
  • Prepare, proofread, and format correspondence, reports, memoranda, and other documents.
  • Maintain calendars, schedule meetings, and coordinate appointments.
  • Organize, maintain, and update files and records.
  • Assist with data collection and preparation of reports and statistics.
  • Accounting & Recordkeeping (25%)
  • Perform bookkeeping and accounting clerical duties.
  • Process journal entries and reconcile accounting records.
  • Receive and process payments, applications, permits, and fees.
  • Maintain petty cash and balance daily receipts.
  • Support mail processing operations and ensure compliance with postal regulations.
  • Data Entry & Payroll Support (20%)
  • Enter and maintain accurate information in computer databases.
  • Verify, correct, and retrieve electronic records.
  • Assist with payroll processing and maintain payroll records.
  • Prepare recurring and special reports.
  • Customer Service & Office Operations (15%)
  • Answer phones and greet visitors professionally.
  • Respond to routine questions regarding policies, procedures, and services.
  • Monitor office equipment and coordinate maintenance or repairs.
  • Provide general administrative support to ensure smooth office operations.
Required
  • High school diploma or GED.
  • Minimum one year of related administrative, clerical, or office support experience.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Strong data entry and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize tasks and work independently.
