Job description


An Onsite Community Manager is responsible for supervising the administrative support staff of the Community Association assigned. The Onsite Community Manager will also assist the lead General Manager with oversight and support of the various departments within the Community Association including Food & Beverage, Facilities Maintenance, Custodial, Landscaping, Lifestyle, etc. The Onsite Community Manager is the liaison to the lead General Manager and residents primarily, but will also occasionally interact with vendors, board members and committee members, as well as staff at the
Associa Client Shared Service Center (CSSC) and within the branch office.
Duties include but are not limited to:
• Assist General Manager II/III with implementation of Board policy and directives within the
scope of the management agreement. Works with the board on strategic initiatives, policy
governance and association projects.
• Supervise all administration staff at the community.
• Assist with employee hiring, training, supervising, and performance management.
• Assist with preparing schedules and establishes priorities for routine and special work projects.
• Assist with annual budget.
• Assist with the administration of the various functions of the community within the projected
and approved operating budget.
• In conjunction with the General Manager II/III, act as a liaison between the Board of Directors
and residents in the execution of the established policies and the conveyance of resident
grievances.
• In conjunction with the General Manager II/III, work as a liaison between the Board and legal
counsel, as well as the Board and the Board Advisory Committees.
• Other duties as assigned.

Job Duties and Responsibilities
Duties and responsibilities include but are not limited to the following;
  • Supervise the operation and administration of the Association in accordance with the management agreement and the Association Policies and Procedures.
  • Acts as the primary liaison with the Association Board of Directors, and homeowners as needed.
  • Perform/Direct administrative and management duties as requested by the Board of Directors and in accordance with the management agreement.
  • Review monthly financials and submit summary report to the Board of Directors.
  • Provide and/or oversee recommendation to the Association Board of Directors and Committees regarding major capital expenditures as required to maintain the desired community appearance and operation.
  • Monitor delinquency and provide recommendations to the Board of Directors as needed.
  • Attend Board meetings per the management agreement
  • Prepare Board packages for meetings according to established time frames.
  • Ensure the Board of Directors is aware of legal actions involving the Association.
  • Maintain unit and contract files relating to the operations of the Association
  • Assist the Board of Directors with Architectural Review Process
  • Coordinate and/or oversee inspection of building facilities and/or common areas and arrange appropriate follow up actions as required.
  • Oversee the Accounts Payable process in accordance with the Associa processes and procedures.
  • Oversee the Resale process in accordance with the Associa processes and procedures
  • Responsible for vendor management including procurement as well as performance evaluation as contracted.
  • Responsible for oversight of maintenance of C3 data base, including updating resident information.
  • Assist with implementation of Board policy and directives with the scope of the management agreement. Works with the Board on strategic initiatives, policy governance and association projects.
  • Responsible for hiring, training, supervising, performance management and termination of all onsite employees in accordance with company policies.
  • Assist the Board with preparation of the annual budget.
  • Monitor and manage operational costs.
  • Monitor vendors to ensure contractual obligations are provide to the Association.
  • Analyzes advantages and disadvantages of alternative solutions to problems and makes recommendations to the Board of Directors.
  • Manage the day to day business affairs of the Association at the direction of the Board.
  • Assist the administration of various functions of the community with the projects and approved operating budget.
