Description

This position provides support to litigation attorneys and paralegals. The role is designed for individuals who are enthusiastic about being part of a busy business law office and having a variety of roles. Applicants should be comfortable working in a professional office environment, using and learning new technologies and carefully take direction from other team members. This role would provide great experience for someone interested in eventually operating their own business or becoming a lawyer or paralegal later in their careers. 


Core Functions:

  • Provide general administrative support throughout the lifecycle of litigation and other legal matters.
  • Assist with preparing and filing basic legal documents with courts (training provided).
  • Handle scheduling of a variety of calls and meetings. 
  • Help compile and organize documents for court filings, depositions and meetings. 
  • Monitor case activity and update attorneys or paralegals as directed.
  • Proofread, revise, and format documents and correspondence.
  • Develop rapport with clients and facilitate client meetings and interactions.
  • Assist with preparing and tracking subpoenas and mailings. 
  • Communicate with clients, court staff, and internal team members in a professional and friendly manner.
  • Conduct basic legal or procedural research as assigned.
  • Organize and maintain electronic case files.
  • Support billing processes, including preparing draft invoices and assisting with billing follow-up.
  • Provide additional support as needed to ensure smooth office and case operations.
  • Occasionally work outside regular hours when necessary to meet deadlines or urgent needs.

Required Skills/Abilities:

  • Strong written and verbal communication skills.
  • Ability to remain friendly, positive and enthusiastic even when busy and facing deadlines.
  • Comfortable calling clients, opposing counsel and clerks to facilitate follow up and scheduling.
  • Willingness to learn legal terminology, processes, and procedures.
  • Good organizational skills and attention to detail.
  • Ability to manage time effectively and meet deadlines.
  • Problem-solving skills and ability to follow instructions.
  • Ability to work collaboratively in a team environment.
  • Professionalism, discretion, and superb ability to maintain confidentiality.
  • Proficiency in Microsoft Office or similar software.
  • Prior experience working with confidential information and demanding clients a plus.


Education and Experience:

  • 1 year of professional office experience preferred but not required. Recent graduates are encouraged to apply.
  • Associate or bachelor's degree in any field is a plus. 


Physical Requirements:

  • Ability to work in downtown Providence Monday through Friday during business hours.
  • Prolonged periods sitting at a desk and working on a computer.
  • Prolonged periods standing at a copy machine or scanner.
  • Must be able to lift up to 15 pounds at times.
